Education: Level 4 or above relevant qualification (can be waived if have 2 years’ work experience)

 

Task include:

Executive Support & Daily Assistance

Provide high-level personal and administrative support to the company director, including managing schedules, booking appointments, and handling travel arrangements.

Assist with both business and limited personal tasks to ensure the director’s daily operations run smoothly and efficiently.

Accompany the director to client meetings, supplier visits, or logistics inspections when needed, and follow up on action points.

Maintain discretion in handling confidential documents and sensitive company information.

 

Business Operations Support

Support the director in monitoring and coordinating the company’s food import and distribution activities.

Prepare and manage documentation such as import permits, customs clearance files, shipping invoices, and supplier contracts.

Keep track of shipment statuses, customs processes, and inventory levels, and keep the director updated regularly.

Ensure internal processes are aligned with regulatory compliance, including food safety and MPI import rules.

 

Client & Supplier Coordination

Communicate with local and international suppliers on behalf of the director to coordinate procurement and logistics.

Liaise with food wholesalers, supermarkets, and restaurant clients regarding delivery arrangements and document requirements.

Follow up on payments, delivery schedules, and stock needs as instructed by the director.

 

Compliance & Documentation

Maintain organized records of business transactions, financial documents, and food compliance certificates.

Assist in preparing paperwork for audits, regulatory reviews, or MPI import approvals.

Track expiry dates, storage requirements, and product movement to ensure food safety standards are consistently met.
