Personal Assistant Wanted

We are looking for ONE permanent full-time (40 hours guaranteed, workdays from Monday to Friday) personal assistant to grow with our team. This is an exciting opportunity for the right person and will allow access to a reputable and burgeoning company.

Responsibilities and Accountabilities:

The Personal Assistant will provide liaison, coordination, organisational and secretarial support to the Director. The role supports the Director by managing appointments, meetings, correspondence, records, briefing information and follow-up actions under the Director’s instructions.

The role is not responsible for making final purchasing, farm management, livestock trading or export decisions. Final business decisions remain with the Director.

Tasks Include:

  •      Liaise with staff, livestock agents, saleyard staff, suppliers, contractors and other external parties on matters requiring the Director’s attention.
  •    Coordinate the Director’s appointments, meetings, saleyard visits, farm visits, supplier meetings, travel arrangements and other business schedules.
  •       Attend saleyards, online auctions, meetings and related activities as directed, and record information for the Director, including cattle prices, volumes, breeds/classes, weights, sale results and market notes.
  •       Research, collect and organise information, and prepare reports, briefing notes, correspondence, meeting notes and other routine documents for the Director.
  •       Maintain confidential files and records for the Director, including client and supplier information, purchase records, market notes, quotations and correspondence.
  •       Attend meetings or discussions as required, take notes, record action points and follow up on matters under the Director’s instructions.
  •       Process correspondence, prepare emails and letters, file documents and maintain physical and digital records.
  •       Screen calls, emails and messages, respond to routine enquiries where appropriate, and refer important matters to the Director.
  •      Take and transcribe dictation of emails, instructions, notes, letters and other documents as required.
  •       Assist the Director with follow-up on routine matters, including supplier quotations, cattle purchase records, transport arrangements and farm-related communications.

To be successful you will need to: 

  • Have at least 3 years’ relevant work experience in the same field/industry OR
  • Have a relevant level 5 qualification, OR
  • Have a bachelor level or higher qualification in business/management/economics.
  • Have a "can-do" attitude and team Spirit.
  • Excellent organization and time-management skills
  • Computer literacy, communication skills and administrative skills
