Position Purpose

The Database Administrator is responsible for the administration, maintenance, accuracy and continuous improvement of CAIQTEST Pacific’s laboratory databases and Laboratory Information Management System.

 

The role ensures that customer information, product specifications, testing requirements, test methods, limits, results, reporting requirements and other laboratory data are accurately configured, maintained and controlled within the system.

 

The Database Administrator works closely with laboratory, Quality, Administration, Business Development and IT/System Administration teams to ensure CAIQTEST Pacific’s data and LIMS effectively support laboratory operations, customer requirements, accreditation requirements and business growth.

 

The role has a strong focus on data integrity, LIMS administration, database management and operational support, while working with the System Administrator and external service providers on broader IT infrastructure, software development and system integration.

 

Work hours: 30 guaranteed hours per week

 

 

Key Responsibilities

1. Database & LIMS Administration

· Administer and maintain CAIQTEST Pacific’s laboratory databases and LIMS.

· Ensure laboratory databases are reliable, accurate and fit for operational requirements.

· Maintain database structures, tables, queries and other database components where required.

· Monitor database performance and identify issues affecting system reliability or efficiency.

· Work with the System Administrator and external LIMS provider to troubleshoot and resolve database and LIMS issues.

· Support database upgrades, system changes and LIMS enhancements.

2. Customer & Product Data Management

· Create and maintain customer profiles and customer-specific requirements within LIMS.

· Set up and maintain products, sample types, testing profiles and testing schedules.

· Ensure customer specifications and acceptance criteria are correctly entered and maintained in the system.

· Maintain customer-specific test requirements, limits, units and reporting requirements.

· Review database configuration when new customers, products or testing programmes are introduced.

· Ensure changes to customer requirements are accurately reflected in LIMS.

3. Test Methods & Laboratory Master Data

· Maintain test methods, test codes, units, reporting limits, detection limits and other laboratory master data.

· Support the setup of newly developed or accredited methods within LIMS.

· Update LIMS when test methods, standards or laboratory procedures change.

· Work closely with technical staff and Quality to ensure system information accurately reflects approved laboratory methods.

· Maintain appropriate controls over changes to laboratory master data.

4. Data Integrity & Quality Control

· Ensure the accuracy, completeness, consistency and integrity of laboratory data.

· Establish and maintain appropriate controls to minimise data entry and configuration errors.

· Perform regular checks of critical LIMS and database information.

· Ensure customer specifications and testing requirements are correctly linked to relevant products and samples.

· Assist with investigations of data discrepancies, reporting issues or system-related errors.

· Maintain appropriate audit trails and change records.

· Support corrective and preventive actions relating to database or LIMS issues.

5. Results & Reporting Support

· Maintain laboratory report configurations and templates.

· Support customer-specific reporting requirements.

· Maintain bilingual or other specialised report templates where required.

· Ensure appropriate test methods, units, reporting limits and accreditation information are correctly reflected on reports.

· Assist with investigation and correction of system-related reporting issues.

· Support improvements to automate reporting and reduce manual processing.

6. Laboratory Operational Support

· Provide first-line LIMS and database support to laboratory, administration and other users.

· Assist staff with system queries and operational issues.

· Work closely with laboratory teams to understand workflow requirements and identify opportunities for improvement.

· Support efficient sample registration, testing, result entry, technical review and report generation workflows.

· Provide training and guidance to staff on correct LIMS and database use.

7. System Improvement & Development Support

· Identify opportunities to improve database and LIMS functionality, efficiency and automation.

· Gather operational requirements from users and communicate these clearly to the System Administrator, LIMS developer or external service providers.

· Participate in user acceptance testing (UAT) for system enhancements and new functionality.

· Verify that system changes meet laboratory and business requirements before implementation.

· Assist with implementation of approved system changes.

· Maintain appropriate documentation relating to system changes.

8. Data Reporting & Business Information

· Develop and maintain database queries and routine reports.

· Extract and analyse data to support laboratory operations and management decision-making.

· Support reporting on testing volumes, turnaround times, customer activities and other operational KPIs.

· Assist management with ad hoc data analysis and reporting requirements.

· Support development of dashboards and automated management reporting where appropriate.

9. Accreditation & Quality System Support

· Ensure database and LIMS activities support CAIQTEST Pacific’s Quality Management System.

· Support compliance with ISO/IEC 17025, IANZ and CNAS requirements relevant to electronic records, data integrity and laboratory reporting.

· Participate in internal and external audits where database, LIMS or electronic records are involved.

· Provide records and system information required during audits.

· Support corrective actions arising from audit findings relating to LIMS or database systems.

· Ensure relevant database and LIMS procedures are appropriately documented and controlled.

10. Security, Backup & Business Continuity

· Maintain appropriate LIMS user access and permissions in accordance with authorised roles.

· Support the protection and confidentiality of customer and laboratory data.

· Work with the System Administrator to ensure appropriate database backup, recovery and business continuity arrangements are maintained.

· Periodically verify that critical laboratory data is appropriately backed up and recoverable.

· Promptly report security, access or data integrity concerns.

11. Documentation & Training

· Maintain database and LIMS procedures, work instructions and system documentation.

· Maintain records of significant system configuration changes.

· Develop user guidance where required.

· Provide LIMS/database training to new and existing staff.

· Ensure important system knowledge and processes are adequately documented.

Skills & Experience

Essential

· Relevant experience in database administration, LIMS administration, information systems or a related role.

· Good understanding of database management and data structures.

· Strong attention to detail and commitment to data accuracy.

· Good analytical and problem-solving skills.

· Ability to understand business and operational requirements and translate them into system configurations.

· Ability to work effectively with both technical and non-technical staff.

· Good organisational and documentation skills.

· Ability to manage multiple priorities and respond effectively to operational issues.

 

Desirable

· Experience working with a Laboratory Information Management System (LIMS).

· SQL/database querying experience.

· Experience in a testing laboratory, manufacturing, food, pharmaceutical or other regulated environment.

· Understanding of laboratory workflows and testing processes.

· Knowledge of ISO/IEC 17025 laboratory requirements.

· Experience with IANZ and/or CNAS accreditation requirements.

· Experience with reporting tools, dashboards or data analysis.

The Database Administrator is primarily responsible for laboratory data, database administration, LIMS configuration, master data, customer specifications, test methods, reporting and day-to-day LIMS operational support.
