Project Management Assistant

Plans, tracks, and delivers projects by translating ideas and concepts into executable plans within defined scope, time, and cost constraints. Provides day-to-day execution across the project lifecycle leveraging AI-enabled tools: scoping, planning, data gathering and analysis, recommendations and decision-making, implementation of change, and monitoring and evaluation. Partners with organizational change management teams or leads change management activities when dedicated support is not available. Manages daily activities of assigned team members to ensure timely and quality delivery. Identifies and applies relevant performance standards and benchmarks to define and measure project success. Applies core project management disciplines (e.g., scheduling, risk management, stakeholder communication) to projects across multiple functions or domains, augmented by AI supported insights where appropriate. Builds and maintains relationships with internal teams, customers, and external partners to ensure clear communication, resolve conflicts, and deliver successful outcomes.

What You'll Do:

  • Typically supports discrete tasks or subcomponents of a project under close supervision
  • Tracks and delivers assigned project tasks
  • Gathers requirements (e.g., resources, timelines, budgets) from stakeholders and documents them for review using AI to transcribe and summarize
  • Drafts initial project plans and timelines; updates plans with task assignments and dependencies
  • Takes comprehensive meeting notes, distributes action items, and escalates disruptions (e.g., resource shortages) to senior colleagues
  • Tracks project metrics (e.g., budget spend, task completion rates, quality checkpoints) using AI to automate data entry with predefined templates
  • Compiles data into reports for project leads, highlighting variances and following up on action items
  • Monitors known risks and delays (e.g., missed deadlines, resource shortages) using risk logs
  • Reports issues to project leads, supporting basic mitigation efforts with predefined plans
  • Gathers data (e.g., process bottlenecks, task durations) to support process improvement initiatives
  • Documents findings and proposes basic enhancements with guidance
  • Applies basic knowledge of the function (e.g., specific processes, technologies, systems) to tasks, learning key features and customer needs through training and project exposure
  • Supports stakeholder communication by providing regular updates (e.g., weekly status emails) and ensuring deliverables meet quality standards using AI to draft and polish professional status updates
  • Escalates minor issues to maintain positive stakeholder relationships
  • Contributes to vendor/external party relations by ensuring project standards and expectations are met through quality of own work

Minimum Qualifications: Bachelors + 0 years of previous experience, or 4 years of related experience. Preferred Qualifications: PM CAPM and Lean Six Sigma certifications preferred.
