We provide a full range of residential and commercial building services. Those services include design and project management services. We specialise in high-end residential new builds and renovations. We are now looking for a full time project adminsistrator to join our team.

 

 

Key Responsibilities:

  1. Project Support:
  • Assist in the planning and execution of projects according to project timelines, scope, and budget.
  • Maintain and update project schedules, ensuring timely delivery of milestones.
  • Coordinate project meetings, take meeting minutes, and follow up on action items.
  • Prepare and distribute project documentation (e.g., reports, presentations, and status updates).
Communication:
  • Serve as a point of contact between project teams, clients, and other stakeholders.
  • Communicate project status, risks, and issues to stakeholders in a clear and concise manner.
  • Manage client expectations and ensure alignment with project objectives.
  • working with Project Managers, Architects, Engineering Professionals, owners and others to ensure that goals are met
Document Management:
  • Maintain accurate project files and documentation, including contracts, project plans, and meeting notes.
  • Ensure all documentation is up-to-date and accessible to team members.
Resource Coordination:
  • Assist in coordinating project resources, including scheduling team members, equipment, and materials.
  • Monitor resource utilization and ensure that any shortages or issues are addressed promptly.
Budget and Financial Tracking:
  • Assist in tracking project expenses and ensuring the project stays within budget.
  • Support the preparation of financial reports and assist in forecasting project costs.
Risk and Issue Management:
  • Track and report project risks, issues, and changes.
  • Assist in mitigating risks by following up on action plans.
Quality Control:
  • Ensure that project deliverables meet quality standards and project requirements.
  • Help identify areas for process improvement to increase project efficiency.

Qualifications and Skills:

  • Education: Diploma in Business Administration, Project Management, or a related field (preferred).
  • Experience: Previous experience in project administration or coordination is preferred (3 years).
  • Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), project management software (e.g., Asana, Trello, Microsoft Project), and document management systems.
  • Communication: Strong verbal and written communication skills.
  • Organizational Skills: Ability to manage multiple tasks and priorities effectively.
  • Attention to Detail: Ensures accuracy in project documentation and tasks.
  • Team Player: Ability to work well in a team environment and with cross-functional groups.
