We support international students in New Zealand and Australia and provide full immigration services. As a Licensed Immigration Adviser Secretary, you will assist advisers with daily operations, document preparation, and client communication to ensure efficient service delivery.

 
 
Your duties would include secretarial, clerical and other administrative tasks in support of the LIA
 
1. Arranging Video/Zoom/Skype appointments
2. Drafting Client Service Agreements
3. Drafting application forms for various immigration application
4. Taking dictation and drafting accordingly of the documents for immigration purpose such as but not
limited to PPI letters, cover letters, email correspondence to various 3rd parties and etc.
5. Maintaining and monitoring the LIA’s digital calendar to make sure all deadlines are met, and
appointments are properly made without clashing while making reschedule where necessary
6. Maintaining and taking meeting minutes between the LIA and the clients
7. Maintaining the file notes for each client
Filing and sorting clients’ documents, including the physical ones, as well as the digital ones that are
kept in the online cloud storage sharing between LIA and you
8. Assisting in drafting emails as instructed by the LIA
Processing and filing incoming and outcoming correspondence including online chat history, physical
mails and emails as per instructions
9. Making and sending invoices to clients when appropriate
10. May be involved in reconciling bank statements in MYOB system

Days required:Monday to Friday Standard Time 11AM to 8PM Daylight ; 

Hours per week:A minimum of 30 hours a week guaranteed, a maximum of 40 hours a week

 

To succeed in this role, you should have:

  • A relevant Diploma (Administration, Commerce, Management, Business, etc.) or higher qualification — or at least three years of relevant work experience in lieu of formal study.

  • Strong attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite, Adobe, and other office software.

  • Strong organizational and time-management abilities with the capacity to prioritize tasks effectively.

  • The ability to work independently as well as collaboratively in a team environment.

  • Knowledge of New Zealand and Australian immigration systems (an advantage).

  • Previous experience with NZ or AU visa applications (a plus).
