Service Foods is seeking a capable, detail-oriented, and proactive Dispatch Office Manager to lead our warehouse dispatch office operations. You’ll play a key role in ensuring timely and accurate order processing, managing team performance, and driving operational excellence across our dispatch office for Waikato Operations based in Hamilton.

As Dispatch Office Manager, you’ll oversee the day-to-day operations of our dispatch office, ensuring smooth coordination of logistics, order processing, and customer credit support. You’ll lead a high-performing team, maintain compliance with safety and food standards, and collaborate across departments to deliver exceptional service outcomes.

Your mahi is to grow people and processes — building capability, improving systems, and driving performance across dispatch operations.

🛠 Key Responsibilities:

  • Oversee daily dispatch coordination and ensure timely, accurate order processing
  • Manage customer credits, POD requests, and returned goods documentation
  • Lead, coach, and mentor the dispatch office and pick pack teams
  • Monitor team KPIs, including DIFOT, credit resolution time, and dispatch accuracy
  • Maintain dispatch logs, inventory records, and office documentation
  • Ensure compliance with health & safety, food safety, and company SOPs
  • Manage consumables and ensure dispatch equipment is operational
  • Collaborate with internal teams to resolve operational issues and improve service delivery

You’ll bring proven experience in warehouse, logistics, or dispatch office management, with strong leadership and communication skills. A background in food service operations and familiarity with inventory systems are a plus.

The offer:

  • Full-time permanent role (30-40 hours a week)
  • Rostered between Sunday and Friday, 5:30 pm to 2:00 am 
  • $28.00 to $30.00 hourly rate

The person:

Our ideal candidate will have: 

  • Either three years of office management or a tertiary qualification.
  • Strong understanding of dispatch coordination, inventory systems, and office administration.
  • Experience in team leadership and performance management.
  • Familiarity with health and safety regulations and compliance standards.
  • Excellent literacy, numeracy and communications skills. 
  • Excellent computer skills and accurate data entry 
  • Reasonably good knowledge and experience of MS Office (Word, Excel, Outlook)
  • Knowledge and experience in Salesforce and the Sage/ERP system are beneficial
  • Knowledge of NZ food products and basic ingredients.
  • Flexibility to work varied hours, including early mornings, late evenings, weekends, and holidays, as needed.
