Echospec Limited is looking for a Accounts Administrator to join our team.

Title: Accounts & Compliance Administrator

Pay: Hourly $34 - $36

Region: Bay of Plenty

Minimum Weekly Hours: 30

Key Responsibilities:

  • Maintain and administer financial record-keeping systems in accordance with company policies and statutory requirements.
  • Perform daily bookkeeping and financial data entry across commercial cleaning contracts and project-based services.
  • Process accounts payable and receivable in accordance with company procedures.
  • Reconcile bank accounts, supplier statements, credit cards, and fuel cards.
  • Monitor expenditure and assist in tracking contract-related costs.
  • Assist in preparing monthly financial summaries, expenditure reports, and cost tracking reports to support management decision-making.
  • Monitor outstanding customer invoices and assist with debtor management.
  • Administer and process payroll for employees and contractors, ensuring accurate calculation of wages, deductions, overtime, allowances, and leave entitlements.
  • Audit staff and contractor timesheets against approved job schedules and site allocations.
  • Identify inconsistencies in reported labour hours, overtime usage, and contractor billing.
  • Ensure wages and contractor payments are processed in accordance with employment agreements and service contracts.
  • Maintain accurate payroll records and support compliance with wage and leave obligations.
  • Review contract labour hours against quoted service levels and budgets.
  • Analyse labour utilisation trends to identify inefficiencies or over-servicing.
  • Reconcile labour allocations with invoicing and payroll data.
  • Prepare structured labour cost and performance reports for management.
  • Recommend administrative and system improvements to reduce payroll errors, time leakage, and reporting discrepancies.
  • Ensure alignment between job management systems, payroll records, and accounting systems.
  • Maintain accurate employee records, contractor agreements, and contract documentation.
  • Prepare payroll summaries and financial tracking reports.
  • Support compliance with employment obligations, wage calculations, and financial reporting requirements.
  • Maintain strict confidentiality of payroll, employee, contractor, and financial information.

Requirements:

  • 2 years experience or level 4 qualifications.
