Precise Consulting Ltd is a professional services firm based in Auckland. The company provides immigration advisory services, study abroad consulting, overseas family settlement support, business advisory, accounting and taxation advisory services. We are seeking a full-time Personal Assistant to join our busy professional team.

Position Title: Personal Assistant

Key Responsibilities:

·       Provide business, administrative and organisational support to the Director in relation to the company's immigration advisory and accounting service operations.

·       Liaise with clients to request, collect and follow up immigration, accounting and taxation documents as instructed by the Director, Licensed Immigration Advisers and accounting professionals.

·       Maintain client files and confidential records, including immigration case documents, accounting records, billing information and general correspondence.

·       Coordinate meetings, appointments and client consultations for immigration and accounting matters, including preparing meeting materials and following up action items.

·       Prepare, edit and organise routine correspondence, reports, file notes, client emails, document checklists and other business documents, and take and transcribe dictation of letters and routine documents when required.

·       Answer phone calls, respond to client enquiries, take messages and redirect matters to the Director or relevant professional staff in a timely manner.

·       Assist with administrative tasks including calendars, emails, incoming and outgoing correspondence, billing, payroll records, spreadsheets, invoices, receipts, filing and client database updates.

·       Support immigration advisory work by assisting with document collection, form preparation support, evidence checklists and file organisation under the instruction of Licensed Immigration Advisers.

·       Support accounting service work by assisting with client records, source document collection, invoice tracking, payroll information and basic administrative preparation under the instruction of accounting professionals.

·       Attend meetings when required, act as secretary, take notes, record key discussion points and follow up matters arising from meetings.

·       Coordinate internal workflow between the immigration, accounting and administration functions to ensure client matters progress efficiently.

·       Schedule and organise travel arrangements, accommodation and other business appointments when required.

·       Assist with maintaining and expanding the company's client network by supporting client communication, follow-up actions and service coordination.

·       Supervise or guide junior administrative or clerical staff when required, particularly in relation to filing, document preparation and client communication tasks.

·       Perform other reasonable business support, liaison, coordination and administrative duties as required by the employer.

 

Pay rate: minimum $32.00 / hour - maximum $38.00 / hour

Guaranteed hours of work per week: minimum 30 hours

 

Requirements for the job:

·       An NZQF Diploma, a Bachelor's degree or a higher qualification; or at least three years of relevant work experience.

·       Strong written and oral communication skills, with the ability to communicate professionally with clients, professional staff and external organisations.

·       Demonstrated ability to build and maintain effective working relationships and manage stakeholder communications.

·       Excellent attention to detail, planning, organisational and self-management skills.

·       Confidence and a proactive approach when communicating with students, clients, educational institutions and other professional contacts.

·       Sound computer skills, including the ability to maintain records, spreadsheets, client files and correspondence accurately.
