We have a vacancy for a Trust Officer to deliver outstanding support to directors, legal personnel and accountants of the firm. This is a 12-month fixed-term position, covering an existing team member's parental leave, with an anticipated start date of October 2026.
Hours: Full time - 37.5 hours per week, Monday to Friday.
Responsibilities:
- Drafts and reviews legal documents, including correspondence and trust documentation;
- Prepares bank account opening documentation, drafts transfer instructions
- Initial review of documents received from clients;
- Conducts legal research as required;
- Maintains file management system for partners and solicitors;
- Maintains confidential files and documents;
- Assists with family trust creation and administration, drafts corresponding documentation (trustee’s resolutions, share transfers);
- Completes Company and Limited Partnership incorporations, prepares corporate documents and resolutions;
- Produces documents, briefing papers, reports and presentations;
- Answers and screens telephone calls, enquiries and requests, and handles them when appropriate;
- Deals with incoming email, faxes and post, often corresponds on behalf of the manager where appropriate;
- Organises and attends meetings and ensures the partner is well prepared for meetings;
- Liaises with clients and staff;
- Arranges couriers;
- Completes various accounts forms as and when required;
- Assists Compliance manager with analysis of ‘know your client’ documentation, including documentation in foreign languages;
- Assists with any other tasks as reasonably requested by the partners/management
Applicants who meet the following criteria will be considered.
• Tertiary legal qualification
• Working knowledge of New Zealand Trust legislation and regulations (will be tested at interview)
• Proven ability to prepare well written legal documentation Intermediate/advanced knowledge of Microsoft Office Suite
• Ability to review Financial Statements prepared to verify transactions against trust records.
• Typing speed of more than 60 words per minute.
