The Opportunity
We are looking for an experienced Administration & Operations Manager to take ownership of the administrative, financial, and logistical coordination of our civil and infrastructure projects.
This is a critical central role where you will act as the bridge between our field teams, management, and clients. You will manage resource allocation, ensure strict compliance with NZ safety and quality standards, and keep the back-office operations running smoothly to support on-time and on-budget project delivery across multiple locations.
What You’ll Be Doing
Project Administration & Financial Management
● Managing comprehensive project documentation and interpreting client briefs.
● Driving the administrative preparation for tender submissions, project schedules, and budgets.
● Monitoring daily project expenditure, processing contract variations, and ensuring accurate financial close-outs and invoicing.
Operational Coordination
● Organising the dispatch and logistics of labour, plant, and materials across several active sites simultaneously.
● Tracking the progress of linemarking, surface preparation, and repair works to ensure field teams have exactly what they need to execute.
● Anticipating logistical delays, mitigating risks, and troubleshooting resource conflicts in real time.
Quality, Safety & Compliance Administration
● Managing Health and Safety (HSWA) documentation and ensuring SWMS are accurately recorded and updated for all field activities.
● Maintaining rigorous compliance files and records for NZTA, council, environmental, and traffic management standards.
● Coordinating quality audit schedules and organizing site inspection paperwork.
Client & Stakeholder Management
● Serving as the primary administrative point of contact for clients, subcontractors, and material suppliers.
● Providing clear operational updates, managing administrative scope changes, and delivering exceptional service.
● Using professional fluency in English and Mandarin Chinese to engage seamlessly with a diverse range of stakeholders.
What You’ll Bring
Essential:
● 3 – 5+ years’ experience in operations management, project administration, or commercial coordination.
● A relevant tertiary qualification (e.g., Business Administration, Operations, Engineering, or equivalent).
● Proven experience supporting the end-to-end administration of multi-site projects (construction, civil, or infrastructure sector highly preferred).
● Strong understanding of NZ commercial standards, contract administration, and HSWA documentation.
● Professional fluency in English and Mandarin Chinese (written & verbal).
