Key Responsibilities of the role to discuss during interview:
Prepare, review, interpret and administer contracts, service agreements, work
orders and related documentation for orchard operations and contracted services.
Review proposed contractual terms, pricing schedules, service specifications,
payment arrangements, performance requirements and completion timeframes
before contracts are approved.
Assist with negotiating new contracts and variations to existing contracts with
labour suppliers, orchard service contractors, maintenance providers, transport
operators and other suppliers.
Ensure contracts and contract variations comply with company policies,
operational requirements and applicable New Zealand laws and regulations.
Maintain an up-to-date contract register showing contract commencement dates,
expiry dates, pricing, renewal requirements, insurance information and key
contractual obligations.
Monitor contractor performance against agreed work specifications, service
standards, deadlines and contractual terms.
Liaise with orchard management personnel to confirm whether contracted work,
including pruning, thinning, spraying, picking, maintenance and machinery
services, has been completed in accordance with the relevant work order.
Review contractor work records, completion reports, timesheets, invoices and
supporting documentation against the relevant contract or work order.
Identify and report discrepancies between contracted services, work completed,
quantities invoiced and agreed pricing.
Prepare and document contract variations where there are changes to the scope
of work, orchard blocks, crop requirements, labour requirements, agreed rates or
completion dates.
Respond to enquiries from contractors, suppliers, management and other parties
regarding contractual obligations, payment terms, service requirements and work
orders.
Assist in resolving contract-related issues, including incomplete work, delays,
disputed charges, service failures and non-compliance with agreed requirements.
Monitor contract expiry dates and coordinate contract renewals, extensions,
amendments, suspensions and terminations.
Review contractors’ insurance, licences, certifications and other contractual
documentation and notify management where information is missing or due to
expire.
Maintain complete and accurate electronic and physical records of contracts,
quotations, variations, work orders, correspondence, performance reports and
related documents.
Supervise or coordinate orchard workers carrying out fruit-production activities
across assigned orchard blocks if needed.
