New Image International Limited is looking for a Sales Events Coordinator to join our team in Auckland.

Location: Māngere Bridge, Auckland
Hours: 40 hours per week
Salary: NZD $66,000–$71,000 per annum, depending on skills and experience

About the Role

The Sales Events Coordinator is responsible for planning, coordinating and delivering conferences, exhibitions, distributor conventions, product launches, business meetings and promotional events that support distributor engagement, business development and product promotion throughout New Zealand.

Tasks:

1.     Conference & Event Planning

·       Plan, deliver and monitor event logistics within timelines and budget with a focus on providing exceptional experiences for those attending.

·       Support effective communication and information systems relating to events.

·       Build and maintain positive relationships with venue hirers, service providers, internal and external suppliers.

·       Liaise with and manage service providers and suppliers ensuring timely and accurate event requirement information is provided.

·       Develop conference programmes and event agendas in consultation with management, presenters and key stakeholders to ensure business objectives are achieved.

·       Raise and mitigate event and facility risks and issues leading up to an event.

·       Identify and organise operational materials required for events (such as signage, site plans) working with the appropriate teams to ensure implementation.

·       Contribute to the development and implementation of effective systems, processes and procedures that support and continually improve the event coordination process.

·       Coordinate distributor conventions and Business Opportunity Meetings to support distributor recruitment and business development.

·       Coordinate recognition programmes and incentive events for distributor achievement. Coordinate ongoing distributor engagement activities through conferences, workshops and educational events.

·       Develop event schedules, operational plans and event timelines.

·       Coordinate registrations, event logistics and attendee communications.

·       Monitor event participation, collect attendee feedback and prepare post-event reports to support continuous improvement of distributor development initiatives.

·       Coordinate promotional activities supporting product launches, distributor recruitment and business development initiatives.

·       Coordinate event marketing communications across multiple channels to maximise attendance and participant engagement.

2.     Event Administration

·       Organise set up and pack down of events at HQ. Be available as required for after hours or weekend events.

·       Organise and facilitate events across New Zealand as needed.

·       Prepare communications and promotional material requests for local events.

·       Generate and maintain complete and accurate event information records to enable accurate and up to date reporting including venue utilisation and financial reporting.

3. Supplier & Venue Management

  • Source and negotiate with venues.
  • Liaise with accommodation providers, caterers and audio visual suppliers.
  • Monitor supplier performance and service quality.
  • Identify and manage event risks before and during events.

4. Budget & Event Administration

  • Prepare and monitor event budgets.
  • Monitor event expenditure.
  • Coordinate supplier quotations and invoices.
  • Maintain accurate event documentation.
  • Prepare post-event reports and event evaluations.
  • Analyse event outcomes and recommend improvements.

5. Stakeholder Communication

  • Maintain effective communication with distributors, presenters, suppliers and internal stakeholders.
  • Coordinate event communications and promotional information.
  • Provide regular progress updates to management.
  • Resolve operational issues before and during events.
  • Build and maintain effective relationships with external venues and business partners.

 

The successful candidates must

-      Have a qualification in Event Management, Marketing, Communications or related discipline at diploma level or higher.

-      Experience coordinating multiple projects and managing competing priorities is strongly preferred.

-      Strong organisational, communication and stakeholder management skills.

-      The ability to work independently and collaboratively within a team.

-      Have no criminal convictions
