DreamWorks Construction NZ is looking for an organised and proactive Project Administrator to provide administrative and coordination support across our construction projects.

This position will work closely with the Director, Project Manager, site teams, subcontractors and suppliers to ensure project information is properly maintained and day-to-day project activities are effectively coordinated.

This is a permanent, full-time position based in Auckland, with 30–40 hours of work per week.

Key Responsibilities

  • Provide day-to-day administrative support to the Director, Project Manager and project teams.
  • Prepare, organise and maintain project documentation, correspondence, contracts, quotations and reports.
  • Maintain accurate records of project schedules, milestones, variations, purchase orders and supplier information.
  • Coordinate project meetings, site visits and appointments, including preparing agendas and taking meeting minutes.
  • Follow up with subcontractors, suppliers and other stakeholders regarding project requirements, delivery schedules and outstanding documentation.
  • Assist with the preparation and processing of purchase orders, invoices, quotations and payment records.
  • Maintain document control systems and ensure project documents are correctly filed, updated and accessible.
  • Assist with monitoring project progress and preparing regular project status updates.
  • Collect and maintain project data and assist in preparing project reports and administrative summaries.
  • Support the preparation and maintenance of building consent, compliance and health and safety documentation.
  • Communicate with clients, architects, engineers, subcontractors and suppliers regarding routine project matters.
  • Identify administrative issues or delays and report them to the relevant project team member.
  • Perform other project coordination and general administrative duties as required.

Requirements

The successful applicant should have:

  • A relevant qualification in Business Administration, Project Management, Construction Management, Engineering, Engineering Science or a related discipline.
  • OR at least three years of relevant experience in project administration, project coordination or construction administration.
  • Previous experience in project administration, office administration or project coordination.
  • Strong organisational skills and attention to detail.
  • Good written and verbal communication skills.
  • The ability to manage multiple tasks, deadlines and changing priorities.
  • Confidence communicating with clients, subcontractors, suppliers, consultants and internal team members.
  • Good computer skills, including proficiency in Microsoft Word, Excel, Outlook and project management software or document management systems.
  • The ability to work independently and collaboratively as part of a team.
  • Knowledge of the construction industry, construction documentation or project administration processes would be an advantage but is not essential.
