About the role
We are seeking a Centre Administration Manager to organise and manage the administrative functions, office systems, records, accounts and operational resources of our early childhood education centre. Starting pay offered from $30 to $35 hourly will be fixed according to experience for 30 hours a week; however, this will be reviewed periodically. Any overtime will be paid as per the above pay rate.
Key duties and responsibilities
- Organise, review and improve the centre’s administrative systems, procedures and office service standards.
- Manage enrolments, waiting lists, attendance records, family information and general parent communications.
- Prepare enrolment advertisements, posters, notices and other centre communication materials.
- Manage office and financial records, including parent accounts, invoicing, payments, accounts receivable, accounts payable and supplier records.
- Maintain employee records and coordinate recruitment, onboarding, leave, timesheets, payroll information and staff rosters in consultation with the owner.
- Allocate and monitor administrative or support tasks where required.
- Liaise with the owner, qualified teachers, accountants, payroll providers, suppliers, contractors and other professionals to coordinate office matters and resolve problems.
- Manage the purchasing of food, stationery, cleaning products, teaching supplies and other operational consumables, and ensure office equipment and systems are properly maintained.
- Maintain health and safety, licensing, privacy and other compliance records.
- Assist in collecting and maintaining information required by the Ministry of Education and other relevant agencies, and monitor reporting deadlines, document renewals and follow-up requirements.
- Provide regular updates to the owner on enrolments, accounts, staffing administration, rosters, compliance and operational matters.
Qualifications:
- A relevant diploma-level or higher qualification in administration, management or a related field; or at least two years of relevant experience in office management or administration management.
- Experience managing office systems, records, accounts and administrative procedures.
- Experience with invoicing, payroll information, employee records or recruitment administration.
- Strong organisational, communication and problem-solving skills.
- Good computer skills and attention to detail.
- The ability to manage confidential information and work independently.
- The ability to communicate in a second Asian language, such as Mandarin Chinese, would be an advantage.
- Experience in an early childhood education centre, school or another regulated service environment would be an advantage.
- Ability to pass any required police vetting and pre-employment checks.
