Booking Administrator
We are looking for a motivated and highly organized Booking Administrator to join our Gynaecology Outpatient team at Christchurch Women's Hospital. This is a busy, high-volume service where no two days are the same, making it an ideal opportunity for someone who thrives in a fast-paced environment and enjoys a varied role. Key Responsibilities:
- Customer Service: Deliver exceptional customer service to patients, clinicians, and others accessing our services. Always maintain confidentiality and privacy. Perform front of house duties with excellent customer service skills.
- Patient Management Systems & Processes: Ensure accurate and timely data entry and booking. Follow MoH and Waitaha Canterbury Elective Services guidelines. Communicate booking details clearly with patients. Ensure waitlists are managed so that the correct patients are offered available appointments. Ensure all clinics are fully utilized.
- Communication: Exhibit professional and proactive communication. Maintain a collaborative and supportive environment to ensure a high functioning service.
- Accurate Data Entry: Fast and accurate data entry of patient demographic details and clinical information. Able to process high volumes of referral and booking information in a timely manner. High attention to detail to ensure minimal errors occur.
About You:
Essential: Ability to manage and coordinate a range of different inputs to achieve the agreed outputs. Excellent customer service skills - people focused. Technically savvy - experience with data systems and quick at picking up new applications/systems. Excellent organizational, time management and problem-solving skills. Ability to achieve high levels of accuracy. Maintain attention to detail. Ability to meet deadlines and work unsupervised. A team player. Be able to demonstrate ability to keep information confidential. Intermediate to advanced user in the Microsoft suite of products e.g. Word, Outlook, Excel. Excellent keyboard skills. High level of written and verbal communication skills. Demonstrated perceptiveness and a proactive approach in an administrator role.
Desirable: Broad administrative experience in a health-related field. Awareness of people of differing cultural backgrounds. Knowledge of medical terminology. Familiarity with the public hospital system (including the patient management system).
