Legal Secretary – Litigation

The opportunity

We are looking for an enthusiastic and highly organised Legal Secretary to join our litigation team in our Auckland CBD office.

This role is central to the smooth and efficient operation of the team. You will provide a comprehensive range of legal secretarial and administrative services, including diary and file management, document preparation, court filing and billing.

This is an excellent opportunity to become a key member of a leading litigation team, working closely with partners, solicitors, legal support staff – including the secretaries within the team, clients, courts and external parties.

Key responsibilities

Your responsibilities will be varied and will include:

  • Managing diaries, appointments, meetings and key legal deadlines.
  • Opening, maintaining, organising and closing client files.
  • Preparing electronic casebooks, exhibit bundles, bundles of authorities, document indexes and references.
  • Taking and accurately transcribing dictation, including correspondence, file notes and other documents.
  • Filing and serving legal documents and monitoring court and procedural deadlines.
  • Recording time, preparing timesheets and assisting with billing and invoicing.
  • Carrying out approved accounting and expense-processing functions.
  • Managing incoming and outgoing mail, filing correspondence and maintaining accurate records.
  • Answering telephone calls, responding to general enquiries and directing callers to the appropriate person.
  • Liaising professionally with clients, courts, government agencies, counsel, external service providers and other stakeholders.
  • Coordinating meetings, travel, accommodation and itineraries.
  • Providing general administrative support to partners, lawyers and other members of the team.
  • Performing other reasonable duties consistent with the position as required.

As an integral member of the team, you will provide professional, proactive and reliable support across a broad range of activities. You will be comfortable managing competing priorities, anticipating the team’s needs and taking ownership of your work.

About you

The successful candidate will have:

  • Excellent administrative and organisation skills.
  • Experience as a legal executive or high-calibre legal secretary.
  • Experience working in a busy legal team.
  • Strong communication, organisational and interpersonal skills, with a client-focused approach.
  • Strong attention to detail and ability to maintain confidentiality
  • Proactive, can-do attitude and passion for delivering high quality work
