Financial Administration Officer

The Great restaurant limited trading as chowfoo restaurant is a busy and established restaurant committed to providing high-quality food and service to our customers. We are seeking a reliable and detail-oriented Financial Administration Officer to manage the day-to-day financial administration of the business and provide financial information and analysis to support management decisions.

About the Role

This position plays an important role in ensuring the restaurant’s financial transactions are accurately recorded and controlled while providing management with meaningful financial information to support cost management, profitability and efficient business operations.

Key Responsibilities
•    Maintain accurate financial records and process all business transactions using the company’s accounting system.
•    Manage accounts payable and accounts receivable, including processing supplier invoices, payments, customer accounts and reconciliation of outstanding balances.
•    Record and reconcile daily restaurant sales, including cash, EFTPOS, credit card, online ordering and other payment transactions.
•    Perform regular bank reconciliations and ensure cash takings and banking records are accurate.
•    Monitor restaurant operating costs, including food and beverage costs, labour costs, supplier expenses and other overheads.
•    Analyse expenditure, sales performance and operating costs and provide recommendations to the General Manager on cost control, budgeting and operational efficiency.
•    Assist management with budgeting, cash-flow monitoring, financial forecasting and variance analysis.
•    Prepare regular internal financial and management reports, including sales, expenses, profitability and other operational financial analysis.
•    Prepare and maintain payroll-related financial records and assist with PAYE calculations, filing and payment requirements.
•    Prepare information and records required for GST returns and other tax and financial compliance obligations.
•    Maintain payroll, employee payment and related financial records and reconcile payroll transactions.
•    Liaise with the company’s external accountant and provide financial records, reconciliations and supporting documents required for annual accounts, tax returns and other accounting matters.
•    Review supplier costs, invoices and payment terms and identify opportunities for improved cost management.
•    Maintain appropriate financial controls and ensure financial documentation is complete, accurate and properly filed.
•    Assist the General Manager with financial analysis relating to pricing, menu profitability, purchasing, staffing costs and other operational decisions.
•    Carry out other financial administration, reporting and analysis duties as required for the effective operation of the restaurant.


Skills and Experience
The successful candidate will ideally have:
•    A relevant qualification in accounting, finance, business or a related field. New Zealand qualification would be advantage 
•    Previous experience in bookkeeping, accounting or financial administration.
•    Good knowledge of accounts payable, accounts receivable, bank reconciliation, payroll, PAYE and GST.
•    Experience using accounting software such as Xero or similar systems.
•    Strong Excel and financial reporting skills.
•    Good analytical ability and an understanding of cost control and business performance.
•    High attention to detail and accuracy in handling financial information.
•    Good communication skills and the ability to work effectively with management, suppliers and external accountants.
