Telnet Energy Ltd is developing renewable-energy projects and services in New Zealand. Its activities include solar generation, battery energy storage, rooftop solar solutions and electricity retail. The company is seeking a capable administrator to support the orderly delivery of its developing project portfolio.

The position

The Program or Project Administrator will provide practical administrative coordination across Telnet Energy’s renewable-energy projects. The role will maintain project information, monitor agreed actions and milestones, coordinate documentation and communications, and give management reliable visibility of project progress.

Report to: Director

Key responsibilities

· Maintain project plans, schedules, milestone trackers, action registers, issue logs and supporting records for assigned renewable-energy projects.

· Coordinate project meetings, prepare agendas and minutes, record decisions and responsibilities, and follow up outstanding actions to completion.

· Establish and maintain orderly document-control and version-control systems for project correspondence, reports, contracts, purchase orders, supplier information and technical or commercial submissions.

· Coordinate information and administrative workflows among management, internal teams, consultants, contractors, suppliers, customers and other project stakeholders.

· Track procurement, delivery, installation and other project activities against agreed timelines, identify delays or missing information, and promptly escalate exceptions to the responsible manager.

· Compile regular progress reports and summaries covering milestones, actions, risks, issues, expenditure information supplied by the relevant team, and upcoming decisions.

· Assist with the administrative preparation and maintenance of supplier, contractor and customer agreements, ensuring approvals, signatures, variations and key dates are properly recorded.

· Support project-related stakeholder communications, presentations and market-rollout activities by preparing accurate background material and maintaining communication records.

· Review administrative processes and recommend practical improvements to project tracking, reporting, information flow and record keeping.

· Perform other reasonably related project-administration duties consistent with the purpose and seniority of the position.

Qualifications and experience

We welcome applications from candidates who have either:

· A relevant diploma-level or higher qualification, including a comparable overseas qualification; or

· At least three years of relevant experience in programme or project administration, project coordination, business operations or comparable work.

The ideal candidate

· Has experience supporting projects or programmes in energy, infrastructure, telecommunications, manufacturing, construction or another operational environment.

· Is comfortable maintaining schedules, reports, contracts, orders, project records and document-control systems.

· Can organise competing priorities and coordinate with managers, consultants, contractors, suppliers and customers.

· Communicates clearly and can prepare accurate professional records, reports and correspondence.

· Can use Microsoft Word, Excel and PowerPoint and adapt to digital project-tracking and document-management tools.

· Has experience in solar generation, battery energy storage, electricity retail or a related technical sector.

· Mandarin language capability may be useful where the role genuinely involves liaison with Mandarin-speaking suppliers or stakeholders, but it is not essential.
