About the Role
As a Team Leader within Outpatient Scheduling Services, you will provide day-to-day leadership, direction and support to Booking Clerks, helping the team deliver accurate and effective administrative services. You will manage rosters and service coverage, balance workloads and priorities, support staff development, and respond to immediate operational requirements.
Working closely with the Service Manager Hospital Administration Services, you will identify opportunities for service improvement and support the introduction of new clerical processes, systems and ways of working. You will also use scheduling reports and Elective Service Performance Indicator information to help the team prioritise work and meet service requirements.
About the Team/Service/Location
Our team supports Outpatient services across Te Tai Tokerau, providing essential administrative coordination for patients and clinicians.
This role works closely with the Service Manager Hospital Administration Services, outpatient leadership, administration teams, clinicians and other internal services. This role also builds effective relationships with patients and whānau, primary care providers, external agencies and regional booking and administration teams.
About You
You will be an experienced Booking Clerk who is ready to take the next step into a leadership role. You will bring a practical, solutions-focused approach, strong relationship management skills, and a commitment to delivering excellent outcomes for patients, clinicians and colleagues. You will bring:
- Proven experience as a Booking Clerk with a strong understanding of patient administration and scheduling processes
- Demonstrated leadership skills, with the ability to guide, support and develop team members
- Excellent communication and relationship-building skills, with the confidence to work effectively across clinical and administrative teams
- Strong problem-solving abilities and the capacity to balance competing priorities in a busy operational environment
- Experience using patient administration systems and reporting tools, with the ability to use data to support service delivery and continuous improvement
