About the Role
We are looking for an experienced and highly organised Personal Assistant to provide proactive, confidential and high quality support to the Medical Services Service Leaders.
This is a varied and important role where you will help keep the day to day operations of Medical Services running smoothly. You will manage complex and competing priorities, anticipate upcoming requirements and ensure our Service Leaders are well prepared and supported.
You will be a trusted first point of contact for the Service Leaders, using sound judgement and initiative to anticipate their needs, manage priorities and ensure matters are followed through to completion.
What you will do
- Coordinate information required for reporting, submissions and service activities.
- Support financial tracking, reporting and applications, including Capex and Learning Investment processes.
- Provide workforce administration support, including recruitment, interviews, appointments, orientation, leave and Microster processes.
- Manage complex and competing diary requirements and coordinate meetings, agendas, papers, actions and follow up.
- Manage correspondence and ensure matters are directed and followed up appropriately.
About you
You will be an experienced administrator or Personal Assistant who is proactive, methodical and confident working in a busy environment where priorities can change.
It would be an advantage if you have
- Experience working within the health sector.
- Experience with Microster, WebPAS, rCP or Oracle.
- A relevant Level 3 qualification.
- Employee Health and Safety certification.
You will bring:
- Demonstrated ability to anticipate the needs of senior leaders and proactively manage competing priorities.
- Excellent organisational, planning and prioritisation skills, with the ability to follow matters through to completion.
- High attention to detail and accuracy, particularly when working with financial information and documentation.
- Advanced Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
- Excellent written and verbal communication skills and the ability to adapt your communication to different audiences.
- The ability to exercise sound judgement when managing confidential and sensitive information, prioritising work and escalating matters appropriately.
- Proven ability to work independently, take initiative and identify opportunities for improvement.
