Decho Homes Limited is an Auckland-based residential construction company. As our business and project activities continue to develop, we are looking for an experienced and well-organised Office Manager to take responsibility for the effective operation of our office and administrative systems and to support the efficient coordination of our business activities.

This is a permanent full-time position, and you will be required to work at least 30 hours per week between Monday to Friday.

Key Responsibilities

The Office Manager will be responsible for the day-to-day organisation and management of the company's office functions and administrative resources. Key duties include:

  • Planning, reviewing and improving office administrative systems, procedures and service standards to support efficient business operations.
  • Managing the day-to-day operation of the office and ensuring administrative activities are completed accurately and on time.
  • Coordinating office resources, facilities, equipment and supplies and arranging maintenance or services where required.
  • Organising and maintaining company records, contracts, correspondence, project documentation and other business files.
  • Establishing and maintaining effective document control and filing systems for company and construction-related records.
  • Coordinating administrative workflows, allocating administrative tasks and monitoring the completion and quality of work.
  • Liaising with directors, project personnel, contractors, suppliers, professional advisers and other external parties to facilitate the smooth operation of the business.
  • Coordinating accounts administration, including maintaining records of invoices, purchase documentation, payments and other financial records, and liaising with the company's accountant where required.
  • Assisting management with budgeting information, administrative reports and operational records.
  • Coordinating personnel administration, including maintaining employee records, assisting with recruitment and onboarding, leave records, training arrangements and payroll information.
  • Monitoring office procedures to ensure compliance with relevant company policies, employment requirements, health and safety requirements and other applicable New Zealand legislation.
  • Organising meetings, maintaining management schedules and preparing relevant documents, reports and correspondence.
  • Supporting management with the implementation and improvement of internal administrative and operational procedures.
  • Identifying administrative or operational issues and working with management and relevant professionals to resolve them.
  • Undertaking other office management duties reasonably required to support the effective operation of the business.

Requirements

To be considered for this position, applicants must have:

  • A relevant NZQF Level 5 Diploma or higher qualification in business, management, administration or a related field; AND
  • At least one year of relevant NZ-based experience in office management, business administration or a comparable administrative management position.
  • Strong organisational and time-management skills, with the ability to coordinate multiple priorities.
  • Good knowledge of office administration, record keeping and document management procedures.
  • Strong written and verbal communication skills.
  • Good computer skills, including proficiency with Microsoft Office and general office management systems.
  • The ability to work independently, exercise sound judgement and resolve day-to-day administrative problems.
  • Good attention to detail and the ability to maintain accurate and confidential business records.
