About the Role

We are looking for an experienced and highly organised Controlled Documents Administrator to join our Health Quality & Safety Team. Based at Tauranga Hospital, this is a permanent, part time position (20 hours per week).

You will work closely with document owners and stakeholders to ensure documents are current, accessible, accurately maintained, and meet quality and compliance requirements. The role also involves coordinating document review processes, providing guidance and support to document stewards, maintaining electronic document systems, and supporting meetings through agenda preparation, minute taking, and follow up actions.

This is an excellent opportunity for someone who enjoys working behind the scenes to support quality, consistency, and continuous improvement across a large and complex organisation.

About the Team

The Health Quality & Safety Service plays a critical role in supporting safe, effective, and high quality healthcare across the Bay of Plenty. The team works collaboratively with clinical and non clinical services to promote best practice, improve patient outcomes, strengthen governance processes, and ensure organisational compliance.

As part of this team, you will contribute to maintaining robust document management systems that help ensure staff have access to current and reliable information to support excellent healthcare delivery.

About You

To be successful in this role, you will have:

  • Proven experience in administrative support and office systems
  • Advanced Microsoft Office skills, particularly Outlook, Word, and Excel
  • Strong document formatting and document management skills
  • Excellent organisational and time management abilities
  • High level of accuracy and attention to detail
  • Strong written and verbal communication skills
  • Ability to build positive working relationships with a wide range of stakeholders
