Office Administrator - Finance Focus

We're looking for an experienced Office Administrator who thrives on keeping both the financial and people administration functions of a business running smoothly.

This is a varied, hands-on role where you'll play a key part in the day-to-day operations of a busy and growing organisation. You'll take ownership of financial administration, support payroll, coordinate HR processes, and provide comprehensive office administration support, helping ensure everything behind the scenes runs efficiently and accurately.

Based in South Canterbury, this permanent full-time position will suit someone who enjoys variety, takes pride in accuracy, and is confident working across multiple systems, priorities, and stakeholder groups.

About the Role

A key focus of this position is financial administration, including:

  • Processing accounts payable and accounts receivable
  • Payroll processing using PaySauce
  • Bank reconciliations and account coding in Xero
  • Managing financial documentation through HubDoc
  • Preparing and issuing customer invoices
  • Following up outstanding debtors
  • Assisting with monthly reconciliations and financial reporting
  • Maintaining accurate and well-organised financial records

You'll also play an important role in supporting the organisation's people processes, including:

  • Coordinating recruitment activities, onboarding, and employee documentation
  • Maintaining HR and training records
  • Coordinating training and development activities across the business

In addition, you'll provide general office administration, sales administration assistance, and help ensure the business operates smoothly day-to-day.

What We Are Looking For

  • Previous experience in office administration, finance administration, accounts, HR coordination, or a similar role
  • Strong working knowledge of Xero, including reconciliations and account coding
  • Understanding of accounts payable and accounts receivable processes
  • Experience with payroll processing
  • Confidence handling confidential employee and financial information
  • Strong organisational and time management skills
  • Excellent communication and relationship-building abilities
  • High attention to detail and accuracy
  • Strong Microsoft Office skills, particularly Excel
  • A proactive approach and willingness to get involved wherever needed
