Office Manager
RJK Transport Ltd is a trusted provider of comprehensive transportation solutions, proudly serving both residential and business clients across the Waikato region. As our operations continue to grow, we are expanding into two new service areas of Hamilton and Taupo. With new offices set-up, we are now seeking two capable and proactive Office Managers who will manage the office and oversee the smooth functioning of our operations.
It is permanent employment based on assured 40 working hours a week. The work will be carried out in Waikato.
Key Responsibilities
- Oversee day-to-day office administration to ensure efficient operations and compliance with relevant government legislation and policies
- Plan, organise and optimise office services and standards
- Implement and improve office processes and systems including task prioritisation to enhance productivity
- Manage and coordinate courier schedules, job allocations, dispatch arrangement and office equipment utilization
- Be the first point of contact for inquiries and correspondence
- Manage communications with clients, vendors, internal teams or external parties and contribute to problem-solving
- Handle invoicing, accounts receivable/payable and bookkeeping tasks
- Assist with data entry, report preparation, and business compliance as required
- Monitor and maintain office supplies & equipment, fleet records, and courier compliance documentation
- Ensure compliance with occupational health and safety regulations
- Support HR functions, including hiring, onboarding, promotions, payroll and leave tracking
- Monitor and manage staff’s work performance and provide training as necessary
Skills and Qualifications
- At least 3 years of proven experience in an administrative or office management role
- Excellent organisational and multitasking abilities
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with transport or dispatch software is a plus
- Ability to work independently with a high level of accuracy and professionalism
- Be able to pass a police vetting
- Knowledge of all the applicable health and safety standards
- Be flexible for working on weekends and night times
