Are you an organised, proactive coordinator who thrives in fast-paced project environments? A well-respected healthcare organisation based in Grafton is seeking a Facilities Project Coordinator to provide high-level administrative and coordination support across a busy portfolio of facilities projects.
This is a full-time, office-based, 5-month temporary role, commencing late January through to the end of June—ideal for an experienced administrator who enjoys supporting meaningful work in the healthcare sector.
The Role
Working closely with the Project Director and Project Team, you will play a key role in keeping projects running smoothly and efficiently. Your responsibilities will include:
- Providing direct administrative and coordination support to the Project Director and wider project team
- Partnering with the Delivery Support Office to ensure work is well planned, monitored, evaluated and reported using established planning tools and frameworks
- Managing financial administration including invoice processing, payment reconciliation and financial tracking
- Assisting with procurement processes and maintaining financial spreadsheets
- Supporting the team with general administration: scheduling meetings, circulating agendas, managing calendars, prioritising inboxes and maintaining confidentiality
- Coordinating team meetings, gathering supporting documents, tracking follow-up actions and taking accurate meeting minutes
- Organising travel and accommodation as required
- Managing expenses for some roles and preparing weekly, monthly or quarterly reports
About You
To be successful in this role, you will bring:
- Proven experience in a senior administration or team administration role
- Some exposure to working in finance/accounts
- Demonstrated ability to provide strong coordination support across complex programs of work
- Experience preparing status reports, governance reports and other project documentation
- Confidence coordinating meetings and taking clear, accurate minutes
- A working knowledge of project methodologies and change management principles
- Excellent prioritisation skills, with the ability to use initiative, meet deadlines and perform well in a dynamic and sometimes ambiguous environment
- Strong relationship-building skills, with the ability to work effectively with diverse stakeholders
- Clear, professional and effective communication skills
