We are seeking a highly motivated Business Support Administrator to join our team. Starting pay offered from $34-$38 hourly will be fixed according to the skills and experience for 35 hours a week. However, this will be reviewed periodically. Any overtime will be paid as per above payrate.
You will provide day-to-day administrative and operational support to the company’s flooring projects. Reporting directly to the Operation Manager, this role supports workforce coordination, client communication, project administration, and compliance-related record keeping to ensure smooth business operations. In this position, you will be responsible for the following duties:
Operational & Project Support
- Assist the Operation Manager in coordinating daily project schedules, job allocations, and operational priorities.
- Maintain project records, timelines, and documentation to support efficient project delivery.
Workforce Scheduling
- Prepare and manage worker rosters in line with project requirements and site schedules.
- Communicate daily work schedules, site details, and any changes clearly to workers.
Client Communication & After-Sales Support
- Act as the contact point for clients via phone and email, coordinating appointments, site measurements, and installation schedules.
- Follow up with clients after project completion to confirm satisfaction and coordinate any after-sales or remedial work.
Supplier & Meeting Coordination
- Coordinate with suppliers regarding material orders, deliveries, and project timing.
- Arrange internal and supplier meetings, including scheduling and follow-up actions.
Immigration Compliance & Employee Records
- Maintain accurate records for work visa employees, including visa status, expiry dates, and role details, and support migrant workers with routine employment-related administrative matters.
- Support the Operation Manager in ensuring company processes align with Immigration New Zealand compliance requirements.
General Administration & Manager Support
- Manage general office administration, including emails, phone calls, and document filing.
- Provide ongoing administrative support to the Operation Manager as required by operational needs.
1. At least three years of relevant work experience in business administration, operations support, or project administration; or a recognised qualification in business, management, or a related field.
2. Experience providing administrative and operational support in a small business or project-based working environment.
3. Strong organisational and communication skills, with the ability to coordinate effectively with clients, suppliers, and internal staff.
4. Ability to work closely with an Operation Manager and adapt to changing operational priorities.
5. Mandarin language skills are preferred, as many workers have limited English proficiency.
6. Due to the nature of the business, the candidate must be able to work on weekends as required.
7. The successful candidate must have no criminal convictions and must be able to pass drug tests.
