We are a small craft beer retail and subscription business, operating primarily as an e-commerce company alongside a local brewery taproom. Our core business focuses on online retail, subscriptions, customer experience, and business operations, with the taproom forming a supporting part of the overall operation.
We are seeking an Office Manager / Administrative Coordinator to support the day-to-day administrative, e-commerce, and operational running of the business. The role is primarily office-based, with occasional operational support in a small team environment.
As a small business in a fast-changing environment, internal systems and processes are continually evolving. This role requires a highly self-directed individual who can independently plan, prioritise, and structure their workload, as well as develop and maintain practical administrative and financial systems that support the wider business and keep day-to-day operations on track.
Key responsibilities (primary duties)

Day-to-day office administration and business coordination

Customer service and customer communications (email and order enquiries)

Administer and update the online store (Shopify), including product listings, order support, and basic site administration

Maintain accurate financial records and manage bookkeeping using Xero, including invoicing, reconciliations, and general finance administration
- Develop, implement, and maintain practical office, financial, and administrative systems, including schedules, workflows, and tracking processes, and support the business owner with organisation and follow-through

Maintain internal processes, documentation, and general operational organisation
Secondary / occasional duties

Occasional taproom support when required

Where required, act as Licence Controller for occasional shifts (once legally eligible)

Run business errands and collect supplies or stock as needed
Essential requirements
Applicants must meet all of the following:

At least 3 years’ relevant office or administrative experience, or a relevant diploma-level qualification in business or administration with demonstrated practical experience

Experience using Xero or similar bookkeeping software

Experience administering an online store or website (e.g. Shopify or similar platform)

Strong written and verbal English communication skills suitable for customer-facing work
- Demonstrated ability to work independently and manage competing priorities in a small business environment
- Strong organisational and planning skills, with the ability to structure work without close supervision
- High level of computer literacy, including confidence working across multiple systems and software platforms

Full New Zealand driver’s licence (required for regular business errands)

LCQ (Licence Controller Qualification), or willingness to obtain. Licence controller responsibilities will only be undertaken once all legal requirements are met
