We are a New Zealand-based shipping and logistics company providing sea freight, warehousing, customs clearance and delivery services. We are seeking a capable and reliable Personal Assistant to support the Director in daily business operations and administrative coordination.

Hourly rate: $31 to $35 depending on experience

 

Key Responsibilities

  • Provide day-to-day personal and administrative support to the Director and assist in managing daily business operations.
  • Manage the Director’s diary, arrange meetings, coordinate schedules and organise travel when required.
  • Prepare and handle business correspondence, reports, briefing notes, emails and other office documents.
  • Attend meetings, take minutes, follow up action items and assist with internal coordination.
  • Liaise with company staff including drivers, warehouse staff, bookkeeper and customs clearance staff regarding operational and administrative matters.
  • Handle incoming and outgoing calls, emails and mail, screen enquiries and maintain proper records and filing systems.
  • Maintain confidential company files, contracts and important business documents.
  • Assist with preparing documents and information for external parties such as accountants, consultants, suppliers and customers.
  • Support the Director in monitoring task progress and improving office administration efficiency.
  • Other tasks assigned by the Director

 

Requirements

  • Diploma or above qualification with courses relating to management or Business Administration or at least one year’s experience in an administrative, personal assistant, or office support role.
  • Strong attention to details and strong interpersonal skills. Proficiency in both English and Chinese with excellent written and verbal communication skills is preferred, particularly with the ability to perform accurate translations between the two languages.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and general office systems.
