BIR Limited is seeking an Administrator to join their team in the Auckland region. This role will support the smooth running of office operations, manage administrative tasks, and assist with the maintenance of our digital platforms, helping to promote our services, support client engagement, and contribute to the company’s ongoing growth.

Key Duties:
• Provide comprehensive administrative support to construction project managers to ensure the smooth coordination of day-to-day project activities.
• Maintain and manage project documentation, including contracts, consent documentation, compliance records, and related correspondence.
• Assist with the preparation, tracking, and filing of project reports, invoices, purchase orders, and variation documents.
• Coordinate routine communication between clients, subcontractors, suppliers, consultants, and internal staff to support project delivery.
• Monitor and update project schedules, meeting records, and action lists to assist in meeting project timelines.
• Receive and manage incoming calls, emails, and enquiries, responding where appropriate or redirecting to relevant project personnel.
• Maintain health and safety documentation and registers to support compliance with construction regulations and company policies.
• Assist with financial administration tasks, including invoice processing, expense tracking, and reconciliation of project-related costs.
• Organise meetings, site visits, and inspections, including preparation of agendas, minutes, and follow-up actions.
• Maintain accurate electronic and physical filing systems for project and company records
• Provide general office administration support, including data entry, document formatting, and record maintenance.
• Undertake additional administrative and clerical duties related to construction project support as required.


The candidate will be required to work at least 30 hours per week and be paid between $25 - $35 per hour.
