About the position
As our business continues to scale, this role will play a key part in ensuring the successful development, coordination, administration and delivery of projects from contract award through to completion.
The Project Coordinator will work across teams, including sales, technical design, production, installation and management, as well as other stakeholders such as developers, contractors and clients, to plan, coordinate and oversee project activities, ensuring delivery in accordance with agreed specifications, timelines and contractual obligations.
Summary of key information
· Nature of employment: Permanent full-time
· Remuneration: $33.60 to $35 per hour
· Overtime rate: at the rate of normal salary for any time worked in addition to an ordinary work week
· Minimum guaranteed hours of work: 30 hours per week.
· Maximum hours of work: 30 hours per week
· Location of work: Auckland
Summary of key responsibilities (including but not limited to):
· Establish and maintain project plans covering production scheduling, delivery sequencing, installation timelines and contractual milestones etc.
· Review supply contracts, technical specifications and purchase orders to ensure alignment with agreed scope, and coordinate any required amendments, scope adjustments or work order variations with relevant parties.
· Monitor and oversee installation contractors and external service providers to ensure works are carried out in accordance with approved drawings, specifications and contractual requirements, and report any deviations or variation impacts.
· Serve as the primary coordination contact for project-related enquiries, addressing issues, scheduling conflicts, documentation queries and contractual clarifications in a timely and professional manner.
· Prepare and review project documentation such as progress reports, variation summaries, compliance records etc.
· Provide structured advice and recommendations to management on project risks, cost implications, scheduling constraints and resource requirements, and implement management decisions accordingly.
· Coordinate communication between key stakeholders to ensure project objectives, delivery timelines and quality standards are achieved.
· Collect and analyse project-related data such as production lead times, delivery performance, installation progress, variation frequency and cost tracking, and report findings to management.
· Maintain comprehensive project records including but not limited to contracts, technical drawings, variation registers, contractor documentation and compliance materials.
· Contribute to continuous improvement of internal project management systems and processes as the business expands.
· Undertake additional project-related responsibilities as reasonably required to support the effective delivery and administration of projects.
Key requirements
To be successful in this role, you will have:
· At least 3 years of proven experience in administering and coordinating commercial projects
· Strong working knowledge of project documentation control and variation management.
· Sound understanding of scheduling, milestone tracking and delivery monitoring within project-based environments.
· Ability to coordinate multiple stakeholders across technical and commercial environments.
· Ability to analyse project data and provide structured reporting to management.
· Excellent organisational capability with strong attention to detail.
· Confident communication and stakeholder engagement skills.
