PROFESSIONAL STAINLESS STEEL JPZ LIMITED is a dynamic and rapidly growing company specializing in commercial kitchen equipment manufacturing. Due to increasing client demand and continued business expansion, we are seeking a motivated Office Manager to join our busy team in Auckland.

 

About the Role

We are seeking an organized and proactive Office Manager to oversee the daily operations of our office and ensure efficient administrative systems and processes. The successful candidate will be responsible for managing office resources, supervising staff, maintaining compliance, and supporting financial and personnel processes to ensure smooth business operations.

 

Key Responsibilities

·       Contribute to the planning, development, and review of office services, including establishing service standards and setting operational priorities.

·       Allocate and manage human resources, office space, and equipment to ensure optimal efficiency and productivity.

·       Assign tasks to administrative staff and monitor performance to ensure work is completed accurately and on time.

·       Manage office records, documentation, and accounts, ensuring accuracy, confidentiality, and compliance.

·       Liaise with internal and external professionals to coordinate business activities and assist in resolving operational issues.

·       Oversee the maintenance of office equipment and ensure adequate supplies are available at all times.

·       Ensure compliance with occupational health and safety (OHS) regulations and workplace policies.

·       Ensure all office operations comply with relevant government legislation, policies, and procedures.

·       Coordinate personnel activities including recruitment, onboarding, performance management, payroll support, staff training, and supervision.

 

Additional Accounting Responsibilities

  • Maintain and monitor the company’s financial records, including accounts payable and accounts receivable.
  • Prepare invoices, process payments, and follow up on outstanding accounts.
  • Assist with budgeting, expense tracking, and cost control measures.
  • Reconcile bank statements and monitor cash flow.
  • Prepare basic financial reports and provide financial information to management as required.
  • Liaise with external accountants or auditors to support financial reporting and compliance obligations.

 

Skills & Experience Required

  • A bachelor’s degree or higher qualification in Business, Management, Accounting, or a related field.
  • Preferably relevant work experience in a related industry or in an office management role.
  • Strong leadership, organizational, and time management skills.
  • Sound knowledge of workplace health and safety requirements.
  • Ability to work independently and collaboratively within a team environment.
  • Excellent problem-solving skills and strong attention to detail.
  • Reliable, trustworthy, and customer focused.
  • Clean criminal record.
  • No history of failed drug tests.
