To support business operations and executive coordination, we are seeking a capable and professional Personal Assistant to provide dedicated administrative and organisational support to the Director.
Position Summary
The Personal Assistant provides high-level administrative, organisational, and executive support to the Director to ensure efficient business operations across retail, service, and technology functions.
This role aligns with ANZSCO 521111 – Personal Assistant.
Key Responsibilities (Aligned with ANZSCO 521111)
Ø Acting as the primary point of contact between the Director and internal staff, suppliers, service providers, and external stakeholders.
Ø Managing the Director’s diary, scheduling appointments, organising meetings, and coordinating travel arrangements.
Ø Preparing correspondence, reports, presentations, briefing papers, and business documentation on behalf of the Director.
Ø Screening and responding to telephone calls, emails, and enquiries with appropriate discretion.
Ø Organising and maintaining confidential files, company records, contracts, and operational documents.
Ø Taking minutes during meetings and distributing action items to relevant team members.
Ø Assisting in coordinating daily operational matters across electronic retail, health service activities, and software development projects.
Ø Supporting procurement coordination, supplier communication, and basic contract administration as directed.
Ø Monitoring follow-up actions to ensure business deadlines and priorities are met.
Ø Providing general executive administrative support to ensure smooth workflow within a small-to-medium enterprise environment.
Skills and Experience Required
Ø NZ Diploma Level 6 or higher in Business Administration, Management, or related field;
OR
Ø At least 2 years of relevant work experience in a Personal Assistant or Executive Assistant role.
Ø Strong organisational and time management skills.
Ø High level of confidentiality and professionalism.
Ø Excellent written and verbal communication skills.
Ø Proficiency in Microsoft Office Suite and digital collaboration tools.
Ø Ability to work independently and manage competing priorities.
Ø Experience supporting senior management in a small or growing business is advantageous.
