About the Role
We are seeking a temporary Project Support professional to assist with coordinating and rolling out operational and practice changes for our client’s organisation.
You will work closely with a dedicated group of testers to ensure new processes are fit for purpose and aligned with best practice. The role also involves liaising with senior leadership and supporting the smooth implementation of these initiatives.
Key Responsibilities
- Take accurate and robust minutes from drop-in sessions, internal meetings, and training sessions.
- Monitor specified external websites daily, identify key updates and changes, and communicate findings clearly to the project review group.
- Review and collate past change documentation, including creating a decision matrix.
- Assist in writing processes related to identified changes.
- Support meeting setup and liaise with the MSD workplan group for feedback from testing.
- Log questions on behalf of the organisation to streamline the testing group’s workload.
- Develop and maintain a risk log for rollout.
- Support the creation of training materials and modules under guidance.
- Maintain a training log, recording sessions run and attendance.
- Provide administrative support to testers and the MS Manager to free up their time for strategic work.
- Prepare monthly summary reports for the MS Manager on activities, outcomes, and resource investment.
- Create and maintain an opportunities register to capture learnings.
- Support the Communities of Practice forum, including agenda preparation and note-taking.
- Log all communications and track actions for the MS Manager.
Candidate Requirements
- Expert-level proficiency in Microsoft Excel, PowerPoint, Teams, and other Microsoft 365 tools.
- Strong communication skills, including the ability to draft professional correspondence for internal and external audiences.
- Highly organised, detail-oriented, and capable of managing multiple tasks simultaneously.
- Experience in project support, coordination, or similar operational roles is desirable.
- Flexible and able to work in a hybrid environment.
- Must have valid working rights in New Zealand.
