Job Summary:
As an Administration Officer, you will be responsible for overseeing and coordinating all the Administrative activities and services in our office and warehouse.
  • Minimum Weekly Hours: 40 Hours
  • Maximum Weekly Hours: 40 Hours

Eligibility Criteria:

  • Minimum 1-year experience as an Administration Officer in New Zealand
  • A Diploma or higher qualification in any discipline would be an added advantage
  • Proficiency in Xero software would be preferred
  • Must be willing to work in a 7-day rostered week
  • Must be able to work independently as well as a member of a strong team
  • Must be committed, methodical, and communicate well with others

Job Responsibilities:

  • Preparing and maintaining all company files and reports
  • Proactively support all administration and sales staff in their functions
  • Plan in advance and arrange staff meetings and agenda
  • Maintain and distribute minutes of the staff meetings
  • Coordinate incoming and outgoing communication
  • Organise distribution of information to staff and customers
  • Attends all staff and management meetings
  • Manage any customers complaints or escalations in a timely manner
  • Discuss account status or activity with customers or suppliers
  • Liaise with customers and refer to the appropriate department
  • Recording, preparing, sorting, classifying and filing records into database
  • Assist in executing sales or any other financial transactions, as necessary
  • Obtain deposits and payments from customers, as necessary
  • Manage onboarding and induction of new staff and maintain their records
  • Prepare and distribute periodic department reports, as necessary
  • Provide necessary administrative support to management at all times
  • Ensure all office equipment are working well, and plan their maintenance
  • Report any maintenance or equipment problems to appropriate person
  • Ensure staff are trained on First Aid, Fire, and all Emergency Procedures
  • Ensure all Occupational Health & Safety records are maintained
