Circability Trust is a dynamic and growing social circus provider, delivering workshops, classes and events for people of all ages and abilities. We are looking for an Operations Manager to keep the engine room running, so our team can focus on creating impact in the community.
You’ll be the central “connector” across the organisation—triaging, organising, following up and keeping momentum. This is a hands-on role with real variety and responsibility.
Key responsibilities

Own daily operations and office coordination (including the shared inbox: [email protected])

Manage class/workshop/centre bookings and venue hire communications

Prepare quotes and invoices, and follow up receivables (working closely with our accountant)

Coordinate payments and support clean finance processes

Support funding and grant activity (applications tracking, reporting, documentation)

Set up and code approved grants in Xero; reconcile grant-related expenses

Support tutors with invoice submissions and validations (with coordinators)

Support payroll inputs, GST/PAYE preparation and audit readiness (with accountant)

Maintain HR admin: staff files, onboarding documentation, policy/JD filing

Help coordinate health & safety reviews and compliance activity
About you

3 years work experience in a similar role

Proactive, organised and calm under pressure

Strong interpersonal skills; confident with a highly diverse range of people and stakeholders

Experience in office administration, accounts administration, EA support or similar

Solid understanding of office systems and basic accounting principles

Comfortable with digital tools and learning new platforms quickly

Xero experience strongly preferred

Relevant qualifications are a bonus
Tools you’ll likely use
Xero, Google Drive and web apps, and ideally Salesforce (or similar CRM).
What we offer

Permanent, full-time role with guaranteed 40 hours max/week

$80k–$90k salary (based on experience and capability)

Fortnightly pay

4 weeks annual leave + statutory holidays
