Due to continued business growth, we are seeking an experienced and capable Medical Administrator to oversee and coordinate the clinic’s administrative operations and support the effective delivery of clinical services.

About the Role

The Medical Administrator is responsible for planning, organising, coordinating, and overseeing the administrative and operational functions of the dental clinic to support efficient healthcare service delivery. The role works closely with dentists, clinical staff, patients, and external providers to ensure the clinic operates effectively, maintains professional healthcare standards, and delivers high-quality patient care services.

Key Responsibilities

  • Plan, organise, coordinate, and oversee the daily administrative and operational activities of the dental clinic
  • Coordinate clinical service schedules and patient management systems to support efficient delivery of dental care services
  • Develop, implement, review, and monitor administrative procedures, operational policies, and patient service standards
  • Support the coordination of healthcare programs, treatment scheduling, and clinical service administration within the practice
  • Monitor clinic performance, workflow efficiency, patient service standards, and administrative systems to support continuous operational improvement
  • Coordinate communication between dentists, clinical staff, laboratories, suppliers, and external healthcare providers
  • Maintain and monitor patient records, confidentiality requirements, health information systems, and compliance documentation
  • Assist with managing clinic resources, medical and office supplies, equipment arrangements, and service-related expenditures
  • Prepare administrative reports, operational records, and internal documentation for management purposes
  • Support budgeting processes, monitor operational costs, and assist with expenditure control relating to clinic administration and supplies
  • Ensure compliance with health and safety requirements, infection control procedures, privacy obligations, and relevant healthcare regulations
  • Assist with staff onboarding, training coordination, rostering, and supervision of administrative support staff
  • Respond to patient enquiries, resolve administrative issues, and maintain a professional patient-focused service environment
  • Contribute to service planning, operational improvements, and the ongoing development of efficient clinic systems and healthcare support services

Skills and Experience Required

Applicants must meet one of the following requirements:

  • At least three years of relevant work experience in medical, dental, or healthcare sector;
    OR
  • A bachelor’s qualification or higher in Health Administration, Healthcare Management, Business Administration, Practice Management, Public Health, or a related field.

In addition, applicants should demonstrate:

  • Strong organisational, administrative, and coordination skills
  • Excellent written and verbal communication abilities
  • Ability to manage competing priorities in a fast-paced healthcare environment
  • Experience using practice management software such as EXACT, D4W, or similar systems is advantageous
  • Sound understanding of patient confidentiality and healthcare administrative procedures
  • Professional, reliable, and proactive work ethic
  • Ability to work both independently and collaboratively within a healthcare team environment

Employment Type: Full-time, Permanent
Hours of Work:  30 – 35 hours per week
Pay Rate: $33 – $36 per hour
