LIM RAVY Limited, trading as Dolphin Motel, is a well-established motel business operating since 2015 in Paihia, Northland. Due to continued business growth, we are seeking a motivated and hands-on Office Manager to support the Directors and Motel Manager in the daily operation administration, and management of the motel.

Job Duties – Assistant Motel Manager

The Manager Assistant is responsible for the overall coordinating housekeeping,and overseeing the administrative, operational support functions of the motel, ensuring efficient and quality day-to-day service delivery, high customer satisfaction, and smooth internal workflow management.

The role supports motel management by coordinating office systems, reservations administration, operational reporting, staff coordination, guest communications, and administrative compliance processes.

Key responsibilities include:

Administrative Operations

  • Coordinate daily office and administrative operations of the motel.
  • Maintain organized reservation, occupancy, and operational records.
  • Prepare daily and weekly operational reports including occupancy, revenue, and guest activity summaries.
  • Ensure administrative procedures comply with motel operational standards and company policies.

Reservations & Guest Administration

  • Manage and monitor online booking platforms including OTA systems such as Booking.com, Expedia, and Agoda etc.
  • Handle guest correspondence, booking modifications, cancellations, and special accommodation requests.
  • Assist with guest check-in and check-out administration when required.
  • Respond to escalated guest inquiries and support customer service resolution processes.

Office Coordination

  • Coordinate communication between front office, housekeeping, maintenance, and management teams.
  • Assist with staff rostering coordination and operational scheduling.
  • Maintain office filing systems, digital records, and internal documentation processes.
  • Support procurement and supplier coordination for operational supplies and services.

Operational Support

  • Assist motel management in monitoring operational performance, services & product quality, and workflow efficiency.
  • Support implementation and maintenance of motel operational procedures and standard operating practices.
  • Monitor office equipment, communication systems, and basic property operational systems to ensure smooth business operations.

Systems & Technical Coordination

  • Coordinate basic administration of motel operational systems including Wi-Fi access, CCTV monitoring support, and office technology systems.
  • Liaise with external service providers or contractors for technical support and maintenance when required.

Compliance & Business Support

  • Assist management with maintaining health and safety documentation and operational compliance records.
  • Support confidential handling of business information, customer records, and financial reporting documentation.
  • Contribute to continuous improvement of administrative and operational systems.

 

Requirements

  • Level 6 or above qualifications in hospitality, business or related fields
  • Previous experience in hospitality and digital marketing is preferred
  • Positive attitude with a willingness to learn
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Ability to work independently and as part of a team
  • Experience using online reservation systems and OTA platforms
  • Competent computer and administrative reporting skills
  • High attention to detail and commitment to cleanliness standards
  • Flexibility to work weekends, public holidays, and varied shifts
