Business Contract Administrator

Funing Trading Ltd is an Auckland-based company. We are seeking a full-time Business Contract Administrator to join our team. This is a full-time permanent position with a guaranteed minimum of 30 hours per week.

The Business Contract Administrator will be responsible for preparing, interpreting, reviewing, maintaining and coordinating variations to business contracts and commercial arrangements on behalf of the company. The role will ensure that contractual obligations, supplier commitments, customer requirements, delivery terms, pricing arrangements, logistics obligations, warehousing service requirements and contract variations are properly managed and implemented in accordance with the company’s trading and operational needs.

Key Responsibilities

  1. Prepare, review, interpret and maintain supplier agreements, customer sales arrangements, purchase contracts, logistics service agreements, freight forwarding arrangements, warehousing service arrangements and related commercial contracts for the company’s import and export trading activities.
  2. Review contract terms, order conditions, delivery requirements, pricing arrangements, payment terms, shipment schedules, service obligations and variation clauses to ensure they are commercially workable and consistent with the company’s operational requirements.
  3. Coordinate and negotiate contract variations, renewals, amendments and service changes with suppliers, customers, freight forwarders, logistics providers and warehousing service providers, and ensure approved changes are properly implemented.
  4. Respond to contract-related enquiries and resolve problems concerning supplier obligations, customer orders, delivery delays, shipment changes, pricing discrepancies, stock availability, logistics services, warehousing services and other matters affecting contracted trading arrangements.
  5. Monitor contract performance and compliance, including supplier delivery performance, order fulfilment, logistics timelines, warehousing service obligations, pricing compliance, service outcomes and approved contract variations.
  6. Liaise with management, suppliers, customers, freight forwarders, customs brokers, logistics providers and teams to ensure contractual obligations are met and the company’s trading objectives are achieved.
  7. Prepare and review contract-related reports, variation summaries, supplier performance updates, order fulfilment reports, logistics service reports and commercial risk summaries for management review and decision-making.
  8. Collect and analyse contract, purchasing, sales, logistics, warehousing and supplier performance information to identify contract issues, operational risks, cost impacts, service delays and opportunities to improve commercial arrangements.
  9. Advise management on contract matters requiring attention, including proposed amendments, supplier or customer issues, delivery or service failures, cost variations, compliance concerns and commercial risks, and implement management decisions relating to contracts and trading arrangements.

The successful candidate must have:

  • At least 2 years of relevant work experience OR a relevant Level 5 or above qualification.
  • Good communication and negotiation skills.
  • Strong attention to detail and ability to review contract-related information accurately.
  • Good organisational skills and ability to manage contract deadlines, variations and compliance requirements.
  • Ability to work independently and liaise with suppliers, customers and service providers.
  • Experience in trading, logistics or contract administration is preferred but not essential.
