We are a successful kiwifruit orchard business operating in the Bay of Plenty, managing orchard production, harvesting, labour coordination, and administrative functions across our horticultural operations. We are seeking an experienced and organised Office Manager to oversee the day-to-day administration of the business and support the efficient operation of our orchard activities.
About the Role
The Office Manager is responsible for planning, organising, and coordinating the administrative functions of the business. The role involves managing office systems, coordinating records and documentation, supporting payroll and human resources processes, onboarding new employees, ensuring work rights are valid, maintaining compliance records, and assisting management with the efficient operation of the orchard business.
Key Responsibilities
- Organise and coordinate the day-to-day administrative operations of the business.
- Develop, implement, and maintain office procedures, administrative systems, and record-keeping processes.
- Coordinate payroll administration, timesheet processing, and employee records.
- Maintain staff onboarding documentation, employment agreements, checking potential employees' work rights/eligiblity, and personnel files.
- Assist with recruitment administration, staff inductions, and workforce coordination.
- Prepare correspondence, reports, spreadsheets, and business documentation.
- Maintain orchard production records, contractor documentation, and compliance records.
- Coordinate invoicing, accounts payable, accounts receivable, and reconciliation processes with the Accountant on a regular basis ensuring copies of reports are held in the office for the Director to review on a regular basis.
- Liaise with growers, contractors, suppliers, service providers, and regulatory agencies.
- Monitor office supplies, equipment, and administrative resources.
- Assist management with budgeting, reporting, and operational planning.
- Maintain health and safety documentation and support compliance requirements.
- Ensure confidential information is handled appropriately and securely.
- Support management with seasonal labour administration and workforce record management.
Skills and Experience Required
Applicants must have either:
- A relevant qualification at NZQF Level 4 or higher in business administration, management, accounting, office administration, or a related field;
OR
- At least three years of relevant office management, administration, business support, or operational administration experience.
The successful applicant will demonstrate:
- Strong organisational and administrative skills.
- Experience managing office systems and administrative processes.
- Sound knowledge of payroll, record management, and office procedures.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Excellent communication and interpersonal skills.
- High attention to detail and accuracy.
- Ability to prioritise tasks and meet deadlines.
- Experience in the horticulture, agriculture, or primary industries sector is advantageous.
