BEEEEST SERVICE LIMITED is looking for a Liaison Officer to join us in Otago. You will provide administrative, liaison and coordination support to the Director and Property Manager, ensuring effective communication, efficient business administration and the smooth coordination of the company's accommodation management operations. You will work 30-45 hours per week, with an hourly rate of $26.50 to $34.50, subject to your skills and experience.
Key Responsibilities
- Coordinate communication between the Director, Property Manager and external stakeholders, including property owners, contractors, suppliers and professional advisers.
- Prepare business correspondence, reports, briefing notes,contracts and other management documents for the Director and Property Manager.
- Organise meetings, prepare agendas, record meeting minutes and follow up on action items.
- Manage the Director's diary, appointments and business schedules, and assist in coordinating the Property Manager's meetings and business commitments.
- Arrange business travel, accommodation and meeting logistics for the Director and other management staff when required.
- Maintain confidential company records, management agreements, contracts and other business documentation.
- Monitor business deadlines and contract renewals, and remind the Director and Property Manager of upcoming actions.
- Coordinate the collection and preparation of information required for management reports and business decision-making.
- Liaise with internal staff and external stakeholders to ensure information is communicated accurately and in a timely manner.
- Screen telephone calls, respond to routine enquiries and direct matters to the appropriate management staff where required.
- Manage incoming and outgoing correspondence, including emails, mail and other business communications.
Requirements
- Diploma or a higher-level qualification in Business, hospitality/tourism management or relevant field
- Work experience in New Zealand accommodation and tourism industry would be an advantage
- Strong organisational, communication and time management skills.
- Proficient in Microsoft Office and able to prepare business correspondence and reports.
- Ability to work flexible hours including weekends
- Being reliable and honest. No offence record
