About Us

SmartGenie Limited is a management services company providing administrative, operational, and business support to a group of companies across multiple industries, including transport and logistics, retail, cleaning services, hospitality, and property management. We are seeking an experienced and organised Office Manager to oversee the day-to-day administration of our head office and ensure efficient office operations across the business group.

Key Responsibilities

  • Plan, organise and oversee the daily administrative operations of the office.
  • Develop, review, and improve office procedures, systems, and administrative standards.
  • Coordinate office resources, including workspace, equipment, supplies, and administrative support.
  • Allocate work to administrative staff and monitor workflow to ensure tasks are completed efficiently.
  • Maintain office records, business documentation, filing systems, and administrative databases.
  • Coordinate office accounts, invoices, purchasing, and general administrative reporting.
  • Liaise with directors, managers, suppliers, service providers, and external stakeholders to support business operations.
  • Assist with recruitment coordination, employee onboarding, staff records, payroll administration, training, and performance documentation.
  • Ensure office equipment, IT resources, and facilities are maintained and operating effectively.
  • Ensure compliance with company policies, health and safety requirements, employment obligations, and relevant New Zealand legislation.
  • Support business managers by coordinating administrative activities across the group of companies.
  • Prepare regular administrative and office performance reports for management.

Skills and Experience

  • NZQF Diploma (Level 5 or above) in Business Administration, Management, or a related field, or at least 3 years of relevant work experience.
  • Excellent organisational, administrative, and time management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office and office management systems.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Previous experience supporting multiple business operations or corporate offices will be an advantage.
