Reporting to the Group Manager – Capital Portfolio, you will play a vital role in supporting the successful delivery of Councils capital projects and programs. Acting as a central coordination point, you’ll oversee governance processes, portfolio reporting, project administration, and stakeholder communication. Working closely with project managers, leadership teams, finance and digital teams, you will help ensure projects remain aligned, well-organised, and positioned for success.
This is an excellent opportunity for a highly organised coordinator who enjoys working across multiple priorities in a fast-paced project environment.

- Coordinate portfolio governance meetings and forums
- Prepare reports, agendas, presentations and minutes
- Maintain portfolio registers, actions, and decisions
- Monitor reporting timelines and stakeholder inputs
- Process invoices and portfolio administration tasks
- Ensure standards and best practices apply consistently
- Facilitate communication across projects and stakeholders effectively
About you:
You are a highly organised and proactive professional who thrives on keeping projects, stakeholders, and processes running smoothly. With strong attention to detail and communication skills, you’re confident managing priorities, building relationships acrpss the business and ensuring governance and activities are delivered accurately and on time. Skills & Experience:
- More than 3 years of proven experience coordinating projects or programs
- Strong governance, reporting, and meeting coordination skills
- Advanced knowledge of Microsoft Office and project management systems
- NCEA Level 3 or an equivalent qualification in English, Math, and Computing
- Formal project management training
- Project management Qualification or working towards (Prince2, Diploma, NZQA, CAPM, or PMP)
- Current NZ full drivers’ licence
