We are looking for experienced Office Manager to join our team, you will be working in the Bay of Plenty, with weekly guaranteed hours at least 40 and a gross hourly pay rate of $38.5.

You will be required to undertake the following job duties:

  • Plan, organise and oversee the daily administrative functions of the office.
  • Develop and implement office procedures and administrative systems to improve operational efficiency.
  • Monitor workflow and allocate administrative resources to meet business requirements.
  • Ensure office facilities, equipment and technology are maintained and operating effectively.
  • Coordinate procurement of office supplies and negotiate with suppliers to ensure cost-effective purchasing.
  • Supervise, mentor and support administrative personnel.
  • Coordinate recruitment, induction and training of administrative staff.
  • Monitor employee performance and assist with performance management processes.
  • Prepare staff rosters and allocate work to ensure operational efficiency.
  • Promote a positive workplace culture aligned with company values.
  • Assist with budgeting and financial planning.
  • Monitor office expenditure and maintain cost control measures.
  • Approve purchasing within delegated authority.
  • Prepare management reports relating to operational performance and expenditure.
  • Liaise with payroll and finance teams to ensure accurate processing of invoices and payments.
  • Develop and maintain administrative policies and procedures.
  • Prepare business correspondence, reports and management documentation.
  • Maintain company records and ensure document control systems remain accurate and compliant.
  • Coordinate meetings, prepare agendas and record meeting outcomes where required.
  • Ensure compliance with relevant employment legislation, privacy obligations and company policies.
  • Support Health and Safety initiatives and ensure administrative compliance with workplace health and safety requirements.
  • Maintain confidentiality of commercial and employee information.
  • Participate in internal audits and continuous improvement initiatives.
  • Maintain professional relationships with clients, suppliers and external stakeholders.
  • Respond to customer enquiries and resolve administrative issues promptly.
  • Coordinate communication between internal departments to ensure effective service delivery.
  • Support senior management with operational planning and business improvement initiatives.
  • Prepare regular operational and management reports.
  • Monitor key administrative performance indicators.
  • Identify opportunities to improve efficiency and recommend process improvements.

 

Experience requirements:

  • A relevant qualification in Business Administration, Business Management or a related discipline, or
  • At least three years of relevant management or administrative experience in a comparable environment.
  • Proven experience in office or business administration.
  • Strong organisational and time management skills.
  • Excellent verbal and written communication skills.
  • Experience supervising or coordinating administrative staff.
  • Financial administration and budgeting experience.
  • Strong problem-solving and decision-making abilities.
  • High level of computer literacy, including Microsoft Office Suite and business management systems.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and commitment to quality.
