About the Role

We are looking for an organised and proactive Team Coordinator to join our Business Services Support team within Digital Services. This is a varied coordination role with a strong focus on financial administration. You will support the management of purchase orders, maintain financial and operational trackers, monitor outstanding actions and help ensure information is accurate, complete and up to date. You will work closely with Finance, Procurement, business owners and other stakeholders to coordinate purchase order activity, follow up required information and support the team to meet agreed processes and timeframes. Alongside this work, you will provide broader coordination and administrative support, including organising meetings, preparing documents and presentations, managing shared information and supporting continuous improvement across the team.

About the Team/Service/Location

The Team Coordinator is a member of the Business Services Support team and reports to the National Business Manager. Business Services supports the efficient operation of Digital Services and manages key relationships with Health New Zealand's corporate and enabling functions, including Finance, Procurement, HR and Communications. The team provides centralised operational and administrative support, leads continuous improvement and service optimisation, and helps ensure consistent processes are followed across Digital Services. This role can be based in Hamilton or Auckland.

About You

You are an experienced coordinator or senior administrator who enjoys working with detailed information, keeping processes on track and making sure actions are followed through. You are confident working with financial and operational information and have strong Excel skills. You take pride in maintaining accurate records, identifying gaps or inconsistencies and presenting information in a clear and practical way. You are comfortable working in a large, complex organisation where priorities can change quickly. You are organised, calm under pressure and able to build constructive relationships with a wide range of people. You may already be working as a Team Coordinator, Finance Coordinator, Project Coordinator or in a similar role and are looking for an opportunity to further develop your skills within a collaborative national team.

Skills and Experience

You'll ideally have:

  • Experience in a Team Coordinator, Finance Coordinator, Project Coordinator or similar role.
  • Experience supporting financial administration processes, including purchase orders, invoicing, financial tracking or procurement activity.
  • Advanced Excel skills, including confidence working with formulas, filters, lookups, pivot tables and large datasets.
  • Experience maintaining accurate financial or operational trackers and following up outstanding actions.
  • Strong organisational skills and the ability to manage competing priorities and deadlines.
  • A high level of accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Confidence using Microsoft 365 applications, including Excel, Outlook, Teams, PowerPoint and Word.
  • The ability to build positive working relationships across different teams and levels of an organisation.
  • Experience working in a large and complex organisation.
  • Previous experience within Health New Zealand, the wider health sector or another government agency would be an advantage.
