Guaranteed Minimum Hours: 30 hours per week (Up to 40 hours per week)
Days of Work: Monday to Friday
Hourly Pay Rate: $37 - $42 NZD per hour
About the Role

We are seeking a reliable, organised, and detail-oriented Contract Administrator to join our team, supporting our Director and on-site Project Manager with contract documentation, billing, and administrative compliance.
Key Tasks, Duties, and Responsibilities

● Review, manage, and maintain standard New Zealand construction contracts; respond to contractual inquiries, resolve contract-related issues, and advise management on matters requiring attention.

● Track site milestones, calculate and issue formal Progress Claims (Invoices) based on contract schedules, and handle billing reconciliations.

● Work closely with the Project Manager to coordinate scope changes and site variations, draft formal Contract Variation Orders, and secure client approvals prior to execution.

● Issue and administer subcontract agreements, establish and maintain relationships with suppliers, subcontractors, and key stakeholders to minimise commercial risk, and verify invoices against work orders.

● Assist with compiling Site-Specific Safety Plans (SSSP) and manage paperwork associated with contracts, projects, and site compliance (such as Toolbox Meeting minutes and hazard logs) to maintain company safety accreditation.

● Maintain company regulatory compliance registers, collect and verify staff timesheets, and provide general office administrative support to ensure smooth daily operations.
Minimum Skills, Qualifications, and Experience

● Qualification: Minimum of an NZQF Level 5 Diploma (or equivalent) in Business
Administration, Management, or a closely related discipline.

● Experience: Prior experience in office management, management support, or administration is preferred.
