Improve and streamline client-facing welcome experience and front-desk operations at Wellington office

About The Role

As a Client Service Host in our Te Whanganui-a-Tara / Wellington office, you'll help create a seamless, professional and welcoming experience across our workplace.

This is a varied and hands-on role where you'll work across client reception, meeting rooms, events, front of house catering and barista service. You'll work collaboratively with our Client Services, Front of House, Facilities and wider Business Services teams to ensure our partners, staff, clients, visitors, contractors and suppliers experience a high-quality and well-run environment every day.

Your day-to-day could include:

  • Welcoming partners, staff, clients, visitors, new joiners and contractors with a warm and professional approach
  • Maintaining the reception area and client-facing spaces to a clean, tidy, welcoming and professional standard
  • Assisting with meeting room bookings, changes and requests using relevant booking systems
  • Supporting meetings and events from initial preparation through to delivery, pack-down and post-event wrap-up
  • Providing front of house catering support and barista service for meetings, events, clients and our people
  • Liaising with IT and Facilities to help resolve technical, audio-visual, room maintenance or workplace issues
  • Reporting workplace hazards, risks, incidents, defects or damage promptly and assisting with coordinating the appropriate response
  • Maintaining First Aider and Fire Warden status and supporting workplace safety, emergency procedures and evacuation activities as required
  • Identifying opportunities to improve processes, service delivery, sustainability and the overall workplace experience
  • Providing flexible support across the wider Business Services team when required

Skills You Will Bring Or Develop In This Role

  • Professional education or training in hospitality, customer service, business administration, facilities, events or a related field would be beneficial but is not essential
  • Additional training in food safety, barista skills, first aid, health and safety, or other workplace-related areas would also be advantageous
  • Previous experience in a receptionist, hospitality, or similar customer-facing role, ideally within a professional services or corporate environment
  • A positive attitude and genuine commitment to delivering an exceptional client experience
  • Highly developed verbal and written communication skills, including a professional and personable phone manner
  • Strong attention to detail and pride in producing consistently high-quality work
  • The agility to manage changing priorities and work effectively with multiple stakeholders
  • Sound judgement, initiative, troubleshooting, and problem-solving skills
  • Strong teamwork skills, with the ability to collaborate across a range of service areas
  • Proficiency in Microsoft Word and Excel, along with confidence in learning new systems and processes
  • Adaptability and openness to change and new ways of working
  • A proactive approach to personal development, continuous improvement, and learning on the job
