About the Role

As a Rostering Systems Coordinator you will use your strong problem solving and analytical skills to advise and support all services, clinical and non-clinical, on how best to use our rostering systems to meet their needs. You will also play a key role in helping services use the data in our systems to provide reporting and analysis, and ensure system configuration, training and documentation is of a high standard.

This is a fast paced busy role, where you will be responsible for responding to enquires from a range of different channels, so you will need to be someone who has strong organisational skills, can think on their feet, and can work to deadlines.

Full training will be provided, but you will need to be someone who is quick to learn new systems and processes, has high level competency using Excel, and enjoys continuous improvement and ongoing learning.

Key responsibilities:

  • Advise and direct services and operational managers on the efficient and effective use of staff scheduling systems.
  • Configure systems and user support tools to meet service requirements
  • Demonstrate sound knowledge of staffing matters, including rostering requirements, Collective Agreement conditions, and applicable legislation and policies.
  • Build user capability through the development and delivery of training, support materials, and ongoing user assistance.
  • Troubleshoot and resolve issues using through logical analysis.
  • Provide accurate reports and meaningful data analysis to support clinical and non-clinical services.
  • Conduct quality assurance and audit activities to ensure data accuracy, process compliance, and the effective identification, management, and escalation of risks.

About the Team/Service

The Centralised Rostering Service comprises, the rostering systems support team and the rostering team. The rostering systems support team support the rostering systems, and all users across the Waikato region. The rostering team create the rosters for Nursing and Midwifery services.

We are part of the Integrated Operations Centre, the hub that leads, manages and monitors patient flow through the organisation by bringing together all relevant staffing and planning teams.

About You

To be considered for this role, you will need to be able to demonstrate the following skills, experience and attributes:

  • A degree in administration/management/health sciences, or more than five years experience in administration
  • A methodical and logical approach to analysing data and problem solving, with strong numerical literacy and attention to detail.
  • Intermediate to Advanced level competency using Excel and other Microsoft products
  • A mature and professional approach in all aspects of work, reflecting strong interpersonal and communication skills and the ability to explain complex information clearly.
  • Previous experience in learning new computer systems and applications.
  • A motivated self starter who takes pride in providing quality service as an individual, and as part of a team.
  • A general understanding of employment contracts and how they relate to pay
  • A current New Zealand Drivers license.

Ideally you will have previous experience in using or supporting workforce planning, rostering, or payroll systems in a medium to large scale workforce setting.
