Nabh Kanwal Ltd is seeking an organised and capable Contract Administrator to support the administration and coordination of our orchard service contracts in the Auckland region.

This is a full-time position involving contract administration, client liaison, service documentation, contract monitoring and reporting. The successful applicant will work closely with management, orchard clients, site supervisors and other relevant parties to support the effective delivery of contracted horticultural services.

Key Responsibilities

The Contract Administrator will be responsible for:

  • Administering orchard service contracts from commencement through completion or renewal and maintaining accurate contract records.
  • Maintaining records of contractual terms, service specifications, rates, timeframes and client requirements.
  • Reviewing service arrangements and assisting with documentation relating to contract variations and amendments.
  • Liaising with orchard clients, management and site supervisors regarding contractual requirements, service schedules, documentation and work progress.
  • Investigating contract-related discrepancies and service issues and coordinating appropriate responses with management and operational staff.
  • Communicating contract specifications, client requirements, service schedules and approved changes to relevant supervisors and personnel.
  • Monitoring contract performance against agreed service requirements, timeframes and specifications.
  • Identifying delays, variations, discrepancies and other contractual matters requiring management attention.
  • Preparing regular reports for management regarding contract status, services delivered, outstanding requirements, variations and client matters.
  • Collecting, maintaining and analysing information relating to contracted orchard services, including work completed, labour hours, service periods and contractual rates.
  • Reconciling service and operational information against contractual requirements and preparing summaries for management.
  • Verifying supporting service records against applicable contractual rates and conditions and preparing information required for invoicing.
  • Maintaining records relating to invoices and payments and assisting with the investigation and resolution of payment discrepancies.
  • Maintaining contractual compliance documentation, including relevant service delivery, worker eligibility, employment, health and safety, biosecurity and client audit records.
  • Assisting management with contract renewals and preparation of service proposals.
  • Maintaining accurate and organised electronic and physical contract records.
  • Carrying out other contract administration duties reasonably associated with the position.

Minimum Requirements

Applicants must have:

Either:

  • A relevant diploma-level or higher qualification in Business, Project Management, Administration, or a closely related field;

OR

  • At least 3 years of relevant work experience in contract administration, project administration, business administration or a closely related role.

Applicants should also have:

  • Good organisational and administrative skills.
  • Ability to maintain accurate contractual and business records.
  • Good written and verbal communication skills.
  • Ability to liaise professionally with clients, management and operational staff.
  • Ability to monitor deadlines, contractual requirements and service documentation.
  • Good attention to detail and ability to identify and follow up discrepancies.
  • Ability to prepare reports and maintain accurate business information.
  • Ability to work independently and manage competing administrative priorities.

Experience in horticulture, orchard services or another contracting/service-based business environment would be advantageous but is not essential.
