About the Role
As an Administration Coordinator, you will provide comprehensive administrative and reception support to the Older Persons Mental Health team and wider Mental Health and Addiction Services. You will be responsible for ensuring the efficient day to day operation of administrative functions, supporting clinicians, patients, and whānau through professional, accurate, and timely service delivery.
This is a varied and fast paced role that combines customer service, health records management, referral processing, data entry, document preparation, and general office coordination. You will play an important role in ensuring information is managed accurately and confidentially, supporting patient pathways and helping clinical teams deliver safe, effective, and person centred care. You will also provide cross cover across the wider administration team, making this an excellent opportunity for someone who enjoys variety and thrives in a collaborative environment.
About the Team/Service/Location
Our Mental Health and Addiction Services team provides specialist support and care to individuals and whānau across Hawke's Bay. Based in Napier, you will join a supportive administration team that works closely with clinicians, managers, and service users to ensure the seamless delivery of services across the organisation.

About You
As an Administration Coordinator, you will bring:
- At least three years of administration experience in a busy environment
- Excellent customer service and communication skills
- Strong organisational skills with the ability to prioritise competing demands
- Advanced computer skills, including experience with Microsoft Office applications
- High attention to detail and the ability to manage confidential information appropriately
- Experience managing records, documentation, data entry, and administrative systems
- The ability to work independently while contributing positively to a team environment
- A commitment to Te Tiriti o Waitangi and delivering equitable, culturally responsive services
This role would suit an experienced administrator who enjoys supporting people, building relationships, and making a meaningful contribution to healthcare services in their community.
